## Key takeaways

- A basic invoice suits one fixed fee, a simplified invoice suits sales of 250 or less in the UK and Germany, and an itemised invoice suits mixed lines with tax.
- Hourly invoices must show hours and rate separately, and recurring invoices need a new number and billing period every time.
- The USA sets no federal invoice layout, the UK adds the VAT number and tax point, and Germany adds a tax ID, sequential number and delivery date.

A **free sample invoice** is a filled-in invoice you can copy, so you can see which fields go where before you send your own. The right layout depends on the job. A one-off fixed fee needs five lines, while a monthly retainer needs a period and a number that never repeats.

In short: pick the basic format for one fixed fee, the simplified format for small sales, the itemised format when tax differs by line, the hourly format for time-based work, and the recurring format for retainers. Then add the one field your country requires.

This guide shows all five formats as working examples with real numbers. It also covers the free blank invoice, the customizable invoice template, and the rules in the USA, the UK and Germany.

## What is an invoice format?

An **invoice format** is the layout and set of fields an invoice uses: who is billing, who is paying, what was supplied, what it costs and when payment is due. The format changes with the kind of work, not with the quality of your business. A basic invoice and an itemised invoice are both valid, but they answer different questions for the client.

Every invoice format shares the same core. Each one needs:

1. Your name and contact details.
2. The client's name and address.
3. A unique invoice number.
4. The issue date and the due date.
5. A description of what was supplied.
6. The amount owed, with any tax shown.
7. How to pay.

The five formats below only change how items 5 and 6 are laid out.

## Which of the five invoice formats should you use?

Choose the format by asking what you are billing for. Use the table as a decision rule, then open the matching sample.

| Format | Best for | Key field | Typical length |
|---|---|---|---|
| Basic | One fixed fee | Amount and due date | 1 line |
| Simplified | Sales of 250 or less (UK, Germany) | Tax rate and one total | 1-3 lines |
| Itemised | Mixed lines with tax | Net, rate and tax per line | 3+ lines |
| Hourly | Time-based work | Hours and rate | 1 line per task |
| Recurring | Retainers and subscriptions | Billing period and unique number | 1 line per period |

If two formats fit, pick the more detailed one. A client can ignore extra detail, but a missing field can delay payment or invalidate the invoice for tax purposes.

## Sample 1: the basic invoice

A **basic invoice** is a short bill for one agreed price with no tax breakdown. It suits a freelancer who completed a single fixed-fee job for a client in a country with no tax to show.

Here is a filled-in basic invoice in US dollars.

| Field | Example |
|---|---|
| From | Dana Ruiz Design, 41 Oak Street, Austin, TX 78701 |
| Bill to | Harbor Coffee Co., 12 Dock Road, Portland, OR 97201 |
| Invoice number | INV-0001 |
| Invoice date | November 4, 2026 |
| Due date | November 18, 2026 |
| Description | Logo design, three concepts and final files |
| Amount due | $850.00 |
| Payment | ACH to account ending 4417, reference INV-0001 |

Keep the description specific. "Logo design, three concepts and final files" tells the client what the money bought. "Design work" invites questions.

## Sample 2: the simplified invoice

A **simplified invoice** is a shorter tax invoice allowed for small sales, with fewer required details than a full one. In the UK, HMRC says you can issue a simplified invoice if the supply is £250 or less and your customer agrees, according to [HMRC VAT Notice 700 paragraph 16.6.1](https://www.gov.uk/guidance/vat-guide-notice-700).

The UK simplified invoice must include:

1. Your name, address and VAT registration number.
2. The time of supply, also called the tax point.
3. A description that identifies the goods or services.
4. For each VAT rate, the total amount payable including VAT, and the VAT rate.

In Germany, a **Kleinbetragsrechnung** is an invoice whose total does not exceed €250. [Section 33 of the UStDV](https://www.gesetze-im-internet.de/ustdv_1980/__33.html) (the German VAT implementing regulation) lets it carry fewer details. It needs the supplier's full name and address, the issue date, the quantity and type of goods or services, and the total amount with the tax rate.

Here is a simplified UK invoice for £96.00 including VAT.

| Field | Example |
|---|---|
| From | Pine Repairs Ltd, VAT reg. 123 4567 89 |
| Date of supply | November 4, 2026 |
| Description | Boiler service, 1 visit |
| Total payable | £96.00 including VAT at 20% |

The VAT inside £96.00 is £16.00, which is one-sixth of the total. HMRC calls this the VAT fraction, and it is 20/120 at the 20% rate. The sample total of £96.00 is therefore £80.00 plus £16.00.

## Sample 3: the itemised invoice

An **itemised invoice** is a bill that lists each product or service on its own line, with a net price and a tax rate per line. Use it whenever the invoice has more than one kind of charge or more than one tax rate. Germany's [UStG section 14](https://www.gesetze-im-internet.de/ustg_1980/__14.html) requires the net amount, grouped by tax rate, and the tax amount to appear on a full invoice.

This sample is a euro invoice from a German web designer to a German business client.

| Item | Quantity | Unit price | Net | VAT 19% |
|---|---|---|---|---|
| Design concept | 1 | €1,200.00 | €1,200.00 | €228.00 |
| Development, hours | 12 | €95.00 | €1,140.00 | €216.60 |
| Domain registration | 1 | €24.00 | €24.00 | €4.56 |
| **Total** | | | **€2,364.00** | **€449.16** |

The gross total is €2,813.16, which is the net amount of €2,364.00 plus VAT of €449.16 at 19%. Notice that every line shows the net price, and the VAT is calculated on each line and then added up. Rounding each line first can change the total by a cent, so decide on one method and keep it on every invoice.

![Itemised example: 2,813.16 euros gross](https://www.invoqk.com/charts/free-sample-invoice-five-formats-and-when-to-use-each-itemised-example.svg)

A free [invoice template](/templates) in Word or Excel will not do this arithmetic for you unless you add formulas. Check the totals by hand before sending.

## Sample 4: the hourly invoice

An **hourly invoice** is a bill that multiplies hours worked by an agreed rate. It works for consultants, developers, tutors and tradespeople who charge by time.

The key is to show hours and rate separately, so the client can check the sum. A single line reading "Consulting, $1,200" gives the client nothing to verify.

| Date | Task | Hours | Rate | Amount |
|---|---|---|---|---|
| Oct 27, 2026 | Data audit | 3.5 | $120.00 | $420.00 |
| Oct 29, 2026 | Dashboard build | 5.0 | $120.00 | $600.00 |
| Nov 2, 2026 | Review call and fixes | 1.5 | $120.00 | $180.00 |
| **Total** | | **10.0** | | **$1,200.00** |

Agree the rounding rule in advance. Billing in 15-minute blocks is common and keeps the invoice easy to read. If the work is time-based, the [hourly rate to invoice calculator](/hourly-rate-to-invoice-calculator) turns hours into a total in seconds.

## Sample 5: the recurring invoice

A **recurring invoice** is a bill issued on a schedule for the same service, such as a monthly retainer, a maintenance plan or a rental. Each one is still a separate invoice. It needs its own number, its own date and the period it covers.

| Field | Example |
|---|---|
| Invoice number | INV-0112 (never reused) |
| Billing period | December 1-31, 2026 |
| Description | Website hosting and maintenance, monthly plan |
| Amount | €180.00 net, €34.20 VAT at 19%, €214.20 gross |
| Due date | December 15, 2026 |

The common mistake is copying last month's invoice and leaving the old number on it. A duplicate number breaks the sequence that German law requires and confuses a client's accounts team. Change the number and the period every time.

## What does each country add to a basic invoice?

Each country adds one field or rule to the common core. The USA adds almost none, the UK adds the VAT number and tax point, and Germany adds the tax identifier, a sequential number and the delivery date.

| Country | What the invoice needs | Source |
|---|---|---|
| USA | No set federal layout; keep it as a business record | IRS Publication 583 |
| UK | VAT registration number and tax point, when VAT-registered | HMRC VAT Notice 700 |
| Germany | Tax number or VAT ID, sequential invoice number, delivery date | UStG section 14(4) |

![The one field each country adds to a plain invoice](https://www.invoqk.com/charts/free-sample-invoice-five-formats-and-when-to-use-each-country-fields.svg)

### Invoice rules in the USA

The United States has no federal law that prescribes an invoice layout. The IRS expects you to keep records that support your income and expenses, and it says to keep most records for 3 years, according to the [IRS guidance on how long to keep records](https://www.irs.gov/businesses/small-businesses-self-employed/how-long-should-i-keep-records). Include enough detail to show who paid what and when. Sales tax is shown separately where a state applies it.

### Invoice rules in the UK

A VAT-registered UK business must issue a VAT invoice with the details listed in paragraph 16.3 of VAT Notice 700. If you are not VAT-registered, do not show VAT at all. The invoice then needs only the ordinary core fields.

### Invoice rules in Germany

Section 14(4) of the UStG, as published by Germany's Federal Ministry of Justice, lists the mandatory content of a full invoice. Among other items, it lists the supplier's and recipient's full names and addresses, a tax number or VAT ID, the issue date, a unique sequential invoice number, the quantity and type of goods or services, the time of delivery, the net amount by tax rate, and the tax amount. A missing item can put the client's input tax deduction at risk, so check each one.

## How do you choose between a blank invoice, a customizable template and a generator?

A free blank invoice is a fixed layout you fill by hand. A customizable invoice template is a file, usually Word, Excel or Google Docs, that you edit and reuse. An invoice generator is a tool that builds the document and does the sums.

Pick by volume and risk:

1. **Under five invoices a month, one tax rate:** a customizable template is enough.
2. **Several tax rates or currencies:** a generator avoids arithmetic errors.
3. **Recurring work:** use a tool that increments the number for you.
4. **Printed paperwork:** a printable blank works, but write the number in sequence and keep a copy.

A free printable invoice is also fine for a one-off. Always keep a copy, because you have to be able to show it later.

## What mistakes make a sample invoice unusable?

Most invoice problems come from copying a sample without changing the fields that must be unique or accurate. The table lists the usual ones.

| Mistake | What goes wrong | Fix |
|---|---|---|
| Reusing an invoice number | Breaks the sequence; client's system rejects it | Increment every time |
| Vague description | Client queries it and delays payment | Name the work and the dates |
| No due date | Payment has no deadline to miss | State a date, not "soon" |
| Tax shown on the wrong base | Totals do not reconcile | Tax the net amount, once |
| Missing tax ID where required | Client cannot reclaim VAT | Check the country rule above |
| Payment details missing | Client has to ask for them | Add bank details and a reference |

Fix these before you send, because a rejected invoice resets the payment clock.

## A checklist to run before you send any invoice

Run this list once per invoice. It takes under a minute.

1. The invoice number is new and sequential.
2. Both names and addresses are complete.
3. The issue date and due date are written out in full.
4. Every line has a clear description, quantity and price.
5. Tax is shown the way your country requires.
6. The total equals the lines plus tax.
7. Payment details and a payment reference are present.

If you want the structure filled in for you, Invoqk's free [invoice generator](/invoice-generator) builds each of these formats from a plain description of the job.

## Key points

Match the format to the job: basic for one fee, simplified for small sales, itemised for tax by line, hourly for time, recurring for retainers. Add your country's one extra field. Check the arithmetic, keep the number unique and keep a copy.

## FAQ

### Where can I get a free sample invoice?

You can copy any of the five samples above, or use a free invoice generator. A usable sample shows the invoice number, both parties, the dates, the described work, the total and the payment details. Replace every example value before sending, and keep a copy of the final PDF with your records.

### What is the simplest invoice format?

The simplest format is the basic invoice: one description, one amount and one due date. It suits a fixed-fee job where no tax needs to be shown. Add your contact details, the client's name, an issue date and a unique number, and state how the client should pay.

### Is a simplified invoice legal in the UK and Germany?

Yes, for small sales. HMRC allows a simplified VAT invoice for supplies of £250 or less with the customer's agreement. German UStDV section 33 allows a reduced invoice for totals up to €250. Both limits apply to the invoice total, not to a single line.

### Can I use a free invoice template in Word or Excel?

Yes. A Word or Excel template is valid if it carries every field your country requires. You must update the number, dates and totals yourself each time, and check any formulas before you send, because a template does not catch a wrong total or a reused invoice number.

### Do I need to show tax on a US invoice?

Only if you collect sales tax in a state that requires it, which depends on what you sell and where. The federal government sets no invoice layout. Show any sales tax on its own line so the client sees the net price and the tax.
