## Key takeaways

- A musician invoice names the event, venue and date, then lists the performance fee, equipment and travel as separate lines with the deposit and balance.
- A UK musician charges VAT only after turnover passes £90,000 over a rolling 12 months, and a German musician under the small-business rule shows no VAT and states § 19 UStG.
- For 2026, the German artists' levy fell and is paid by the organizer, not the musician, and US clients report nonemployee compensation of $2,000 or more on Form 1099-NEC.

**A musician invoice** is a bill from a performer or band to a venue, planner or client that names the event, the date, the performance fee, any extras and the balance due. A musician invoice template needs the same basics as any invoice, plus the details that settle gig disputes: set length, load-in time, equipment, travel and the deposit already paid.

This guide gives you a musician invoice template and an artist invoice template, filled in with a wedding gig and a recording session. It also covers when a UK musician must charge VAT, how German musicians use the small-business rule, and what German organizers owe the artists' social insurance fund. Send the invoice the day after the show.

## What must a musician invoice include?

A musician invoice must show who is paid, who pays, for what, and when. **A performance fee** is the agreed price for playing a set at an event, and it should be on its own line, apart from expenses. Use these fields:

| Field | Example | Why it matters |
|---|---|---|
| Performer or band name and address | Lena Hart Trio, Leeds | Identifies the seller |
| Client name | Greenfield Events Ltd | Who is billed |
| Invoice number and date | GIG-2026-014, October 19, 2026 | Unique and sequential |
| Event, venue and date | Wedding reception, Oakwood Barn, October 17, 2026 | Ties the bill to the booking |
| Performance details | 2 sets of 45 minutes, 7:30 pm start | Shows what the fee covers |
| Performance fee | $1,800.00 | Core charge |
| Equipment and sound | PA system and engineer, $250.00 | Often billed separately |
| Travel and accommodation | Flat $96.00 | Itemized, not hidden in the fee |
| Deposit and balance | Deposit $900.00, balance $1,246.00 | Avoids disputes on the night |
| Payment terms | Due within 7 days, bank transfer | Gets you paid |
| Cancellation terms | Reference to the signed booking | Handy if a date moves |

Our guide [What is an invoice number? How to number invoices](/blog/what-is-an-invoice-number-how-to-number-invoices) covers numbering, which matters when gigs pile up at weekends.

## Musician invoice template, filled in: a wedding gig (US)

This musician invoice template bills a four-piece wedding band. The fee, the sound system and the travel are separate lines because the client may need to reimburse or allocate each differently.

| Description | Amount |
|---|---|
| Performance fee: wedding reception, Oct 17, 2026, 2 × 45-minute sets plus 1 hour of background music | $1,800.00 |
| Sound system and engineer | $250.00 |
| Travel, flat fee | $96.00 |
| **Invoice total** | **$2,146.00** |
| Deposit received on September 12, 2026 | −$900.00 |
| **Balance due** | **$1,246.00** |

![Chart showing how a $2,146 musician invoice splits between the performance fee, sound system and travel](https://www.invoqk.com/charts/musician-invoice-breakdown.svg)

The deposit sits on its own dated line so the client can match it to their payment record. Put the balance date in the header too: "Balance due on the day of the event."

## Artist invoice template for sessions and other work

An artist invoice template can cover more than gigs. Session work, commissions, lessons and hire all need slightly different wording. Use one line per job, and say what the client receives.

| Type of work | How to word the line |
|---|---|
| Live performance | "Live set, 2 × 45 min, Oakwood Barn, Oct 17, 2026" |
| Studio session | "Session guitar, 4 h at £60.00, Studio B, Oct 20, 2026" |
| Composition or arrangement | "Original score, 3 minutes, delivered as WAV and PDF, 1 revision included" |
| Equipment hire | "Backline hire, 1 day" |
| Travel | "Return mileage, 120 miles" |

State what is included. "One revision included, further revisions billed at £60.00 an hour" avoids arguments about scope. Our guide [Quote template: what to include, with a free example](/blog/quote-template-what-to-include-with-a-free-example) shows how to set that scope before the work starts.

## How to build the performance fee before you invoice it

A performance fee should come from a simple build-up, so you can explain it if the client asks. For example, take the $1,800.00 wedding fee above. It can be broken down like this:

| Component | Basis | Amount |
|---|---|---|
| Musicians' fees | 4 players at $375.00 each | $1,500.00 |
| Rehearsal and song learning | Requested first-dance arrangement | $150.00 |
| Booking and admin time | Calls, contract, setlist planning | $150.00 |
| **Performance fee** | | **$1,800.00** |

You do not have to print the breakdown on the invoice. The invoice carries one line, "Performance fee". Keep the build-up in your booking notes. A client who asks "why this much?" gets an answer in one reply.

## Deposits and cancellation fees on a musician invoice

A deposit secures the date, and a cancellation fee covers the income you lose if the client cancels late. Both belong in the booking agreement first. The invoice then follows the agreement.

For example, imagine a client cancels two weeks before the event. The agreement says the deposit is non-refundable and a further $400.00 is due inside 14 days of the event. The cancellation invoice looks like this:

| Description | Amount |
|---|---|
| Cancellation fee per booking agreement, event date October 17, 2026 | $1,300.00 |
| Deposit retained | −$900.00 |
| **Balance due** | **$400.00** |

Keep cancellation invoices factual. Name the agreement, the clause and the date the client cancelled. Do not bill for work that did not happen as if it had. The invoice should describe the cancellation fee as exactly that.

## Musician invoice in the UK: when VAT starts

A UK musician charges VAT only after registering, and registration depends on turnover. The VAT threshold is £90,000, according to [GOV.UK's guidance on registering for VAT](https://www.gov.uk/register-for-vat). The test is your total taxable turnover for the last 12 months, not the tax year. You must also register if you realize you will go over £90,000 in the next 30 days alone.

Here is how a busy band can cross the line. Suppose a band bills £7,800 a month. After 11 months it has £85,800, and after the twelfth month it has £93,600. Crossing in July 2026 means registering within 30 days of the end of that month, and GOV.UK says the effective date is the first day of the second month after the crossing, so September 1, 2026.

Once registered, the invoice adds VAT at the standard rate. The standard rate is 20%, according to [GOV.UK's VAT rates page](https://www.gov.uk/vat-rates). A £600 fee becomes £720: £600 plus £120 VAT. Add your VAT number to the invoice from the registration date.

Below the threshold, leave the VAT line off. Contact HMRC or an accountant if your income mixes gigs with other work that changes the figures.

## Musician invoice in Germany: small-business rule and the artists' levy

German musicians often invoice without VAT because of the small-business rule. [Section 19 of the Umsatzsteuergesetz (UStG)](https://www.gesetze-im-internet.de/ustg_1980/__19.html) applies when total turnover was at most €25,000 in the prior calendar year and is at most €100,000 in the current year. An invoice under this rule shows no VAT and states that it does not charge VAT under § 19 UStG. An invoice that charges VAT must follow [§ 14(4) UStG](https://www.gesetze-im-internet.de/ustg_1980/__14.html), including a tax number, a sequential number and the date of the service.

**The Künstlersozialabgabe** is a levy that the companies hiring self-employed artists pay to the artists' social insurance fund, the Künstlersozialkasse (KSK). It is not deducted from the musician's fee. The rate is 4.9% for 2026 and was 5.0% in 2025, according to the German Federal Ministry of Labour and Social Affairs' [press release on the 2026 rate](https://www.bmas.de/DE/Service/Presse/Pressemitteilungen/2025/kuenstlersozialversicherung-abgabe-sinkt-im-jahr-2026.html). The KSK's [page on who must pay](https://www.kuenstlersozialkasse.de/unternehmen-und-verwerter/wer-ist-abgabepflichtig) lists event organizers and artist agencies among the payers.

On a fee of €800, the levy is €39.20 on top, paid by the organizer to the KSK. The musician's invoice stays at €800. Whether expenses or VAT are part of the base is a question for the KSK, so do not guess in either direction.

For the musician, the practical point is documentation. Write the event, date and fee clearly, because the organizer needs that line to report what it paid to self-employed artists. The KSK's page notes that the annual reporting threshold for some payers is €1,000 from 2026, up from €700 in 2025.

## What changed in 2026 for musicians

Two changes affect how musicians are reported and what they should keep.

In the US, the reporting threshold for Form 1099-NEC rose. The [IRS instructions for Forms 1099-MISC and 1099-NEC](https://www.irs.gov/instructions/i1099mec) say nonemployee compensation of $2,000 or more is reported, for tax years beginning after 2025. A venue that pays you $2,500 in 2026 across several gigs should send one, and your invoices should add up to the same number. The IRS gives January 31 as the deadline.

In Germany, the levy rate fell from 5.0% to 4.9%, as shown above. For a booker paying €10,000 in fees across the year, that is €490 instead of €500. Small, but it is the number to use on 2026 budgets.

## Common mistakes on a musician invoice

Musicians lose time chasing payment when the bill is unclear. Avoid these:

- **No deposit line.** The client forgets what they paid and queries the balance.
- **Fee and expenses in one lump.** The client cannot reimburse or allocate them.
- **No event details.** An invoice for "services" is hard to approve.
- **Late invoicing.** A bill sent weeks after the show is paid weeks later.
- **No payment terms.** "Due within 7 days" beats a blank.

Our guide [Invoice email template: how to email an invoice](/blog/invoice-email-template-how-to-email-an-invoice) has wording for the message that carries the PDF.

## Final check before you send a musician invoice

Run this list before sending:

1. The event, venue and date are on the page.
2. The fee, equipment and travel are separate lines.
3. The deposit and balance are right.
4. Tax is correct for your country, or absent if you are below the threshold.
5. Payment terms and the due date are written out.
6. The invoice number is unique.

## FAQ

### What should a musician invoice include?

A musician invoice should include the performer's details, the client's details, a unique invoice number and date, the event, venue and date, the performance fee, equipment and travel as separate lines, any deposit received, the balance due and payment terms.

### Do UK musicians have to charge VAT?

Only once registered. A UK musician must register for VAT when taxable turnover over the last 12 months passes £90,000, according to GOV.UK. Below that threshold, the invoice has no VAT line and no VAT number, and the musician does not add tax.

### Who pays the Künstlersozialabgabe in Germany?

The organizers and companies that hire self-employed artists pay it, not the musicians. The rate is 4.9% for 2026, according to the German Federal Ministry of Labour and Social Affairs, and the levy is not deducted from the musician's own fee.

### Should I take a deposit for a gig?

Yes, a deposit is common for weddings and private events, and it secures the date. Show it as a dated negative line on the invoice so the balance is clear, and keep the cancellation terms in the signed booking agreement.
