## Key takeaways

- A valid receipt shows who paid, who was paid, how much, for what, the date and the payment method.
- In Germany, section 368 of the BGB requires a written receipt on request once payment is made.
- Keep receipts: IRS Publication 583 gives a general 3 years, and GOV.UK says 5 years after the 31 January deadline.

**A receipt** is a written proof that a payment was made and received. An online receipt generator lets you create one in minutes and save it as a PDF. This guide shows what a valid receipt needs, a filled-in example with real numbers and how long to keep the document in the US, the UK and Germany.

Use a receipt generator only for payments that really happened, because a receipt for money that was never paid is a false record and no tool makes it legitimate.

## What a receipt must show

A receipt answers four essential questions: who paid, who was paid, how much was paid and what the payment was for. For example, a photographer's receipt should name the client, the shoot and the amount received. Include these items.

1. Seller name, address and contact details.
2. Buyer name, if the buyer is a business or asks for it.
3. Receipt number.
4. Date of payment.
5. Description of the goods or services.
6. Amount paid, with the currency.
7. Tax or VAT, shown separately.
8. Payment method, such as cash, card or bank transfer.
9. Whether the payment is in full or partial, and any balance left.
10. The invoice number it relates to.

**A partial payment** is a payment that covers only part of the amount owed, and its receipt must show the balance left. A seller who writes "paid in full" should still show the total, because a reader should never have to guess the amount.

## Online receipt generator example

This receipt is for a freelance photographer who was paid by bank transfer, and the amounts are in US dollars.

**Receipt R-2026-088**
Date of payment: October 2, 2026
Received from: Maple Street Cafe
Received by: Lena Ortiz Photography

| Description | Qty | Unit price | Amount |
|---|---|---|---|
| Menu photo shoot, half day | 1 | $600.00 | $600.00 |
| Edited images, extra | 10 | $15.00 | $150.00 |

| Summary | Amount |
|---|---|
| Subtotal | $750.00 |
| Sales tax | $0.00, not charged on this service in this example |
| Total | $750.00 |
| Previous payment, deposit | $225.00 |
| **Paid today** | **$525.00** |
| Balance due | $0.00 |

Payment method: bank transfer. Related invoice: INV-2026-031.

The deposit of $225.00 was paid earlier, so the total of $750.00 minus that deposit leaves $525.00 paid today. The receipt shows all three numbers, which closes the job cleanly and leaves no balance in question.

## Common receipt mistakes to avoid

These errors cause most disputes about whether a payment was made.

- Leaving out the date of payment, so no one can tell which period it belongs to.
- Writing only "paid" with no amount or currency.
- Skipping the [receipt number](/blog/receipt-numbering-how-to-number-receipts-and-where-it-goes), which makes the document hard to find later.
- Forgetting to show the balance left after a partial payment.
- Issuing a receipt before the money has actually arrived.

## Receipt vs invoice

**An invoice** is a request for payment, whereas a receipt confirms that the money arrived.

| Document | Purpose | Sent | Shows |
|---|---|---|---|
| Invoice | Request for payment | Before payment | Amount due and terms |
| Receipt | Proof of payment | After payment | Amount paid and method |

If you are paid in full on the spot, one receipt can do the work of both documents. If you bill in advance, send an invoice first and then issue a receipt once the money arrives.

## What the law says about receipts

**A Quittung** is the German word for a written acknowledgment that a payment was received. **A small-amount invoice** is a simplified invoice that tax rules allow for low totals. Rules vary by country, so here is what three authorities say about both documents.

In Germany, [section 368 of the BGB](https://www.gesetze-im-internet.de/bgb/__368.html) is titled Quittung. It says a creditor must, on request, issue a written acknowledgment of receipt once the payment arrives. The word on the page is Empfangsbekenntnis, and the common name is Quittung. A German customer can therefore demand one, for instance after paying cash.

German small invoices have their own rule. [Section 33 of the UStDV](https://www.gesetze-im-internet.de/ustdv_1980/__33.html) covers invoices whose total does not exceed 250 euros. They need the supplier's full name and address, the date of issue, the type and amount of the goods or services, and the net amount, the tax amount and the tax rate or a note of exemption. A [till receipt](/blog/register-receipt-what-a-till-receipt-must-show-and-how-to-number-it) for under 250 euros usually works this way.

In the UK, the [GOV.UK invoice guidance](https://www.gov.uk/invoicing-and-taking-payment-from-customers/invoices-what-they-must-include) lists what a business invoice must include. That list is a good model for a receipt too. It covers your name and address, the customer's name and address, a clear description, the supply date, the amounts and the VAT where it applies.

In the US, the IRS does not prescribe a particular receipt format. [IRS Publication 583](https://www.irs.gov/publications/p583) says supporting documents include sales slips, paid bills, invoices, receipts, deposit slips and canceled checks. They support the entries in your books and on your return.

## How long to keep receipts

Keep every receipt you issue and every receipt you collect, since each one may be needed to prove income or expenses later.

| Country | Rule | Source |
|---|---|---|
| US | General period of limitations is 3 years, and 6 years in some cases | IRS Publication 583 |
| UK | At least 5 years after the 31 January submission deadline | GOV.UK |

The UK example in the [GOV.UK record-keeping rule](https://www.gov.uk/self-employed-records/how-long-to-keep-your-records) is concrete. If you sent your 2022 to 2023 tax return online by 31 January 2024, keep your records until at least the end of January 2029. The IRS says the 6-year period applies when unreported income exceeds 25 percent of the gross income shown on a return. Employment records are treated differently, with at least 4 years required in the US.

## How to use a receipt generator step by step

1. Enter your business details once and save them, so every later receipt starts with the correct header.
2. Add the buyer, the date and the receipt number.
3. List each item with quantity and price.
4. Mark whether the payment is full or partial.
5. Add the payment method and the related invoice number.
6. Download the PDF, send it to the buyer and keep a copy for your own records.

## FAQ

### What should a receipt include?

A receipt should include the seller's details, the date of payment, a description of what was bought, the amount paid, tax shown separately, the payment method and a receipt number. For partial payments, show the balance left.

### Is a generated receipt valid?

A receipt is valid when it truthfully records a real payment and carries the right details. The tool that made it does not matter. A receipt for a payment that never happened is a false record.

### Do I have to give a customer a receipt?

In Germany, section 368 of the BGB requires a creditor to issue a written receipt on request once paid. The US and UK sources here set no single receipt format. Giving one anyway is good practice and protects you in a dispute.

### What is the difference between a receipt and an invoice?

An invoice asks for payment and shows the amount due. A receipt confirms payment and shows the amount paid. If you are paid on the spot, one receipt can serve as both.

### How long should I keep receipts?

In the US, IRS Publication 583 gives a general period of 3 years, and 6 years in some cases. In the UK, GOV.UK says to keep records for at least 5 years after the 31 January submission deadline.
