## Key takeaways

- A rent invoice names the rental period, itemizes each charge, shows any tax and gives an exact due date.
- IRS Publication 527 says advance rent is income in the year received, while a refundable security deposit is not income when received.
- HMRC says renting land and buildings is normally VAT-exempt, but a landlord who opts to tax makes standard-rated supplies.

**A rent invoice** is a bill a landlord or rental company sends to a tenant or hirer, listing the rental period, the rent due, any extra charges and the date payment is expected. The quickest way to be paid on time is an invoice that names the exact period, shows each charge on its own line, and states a due date. Every figure below went through a fact-check against the official source linked beside it.

This guide gives you a rent invoice template, two filled-in examples (a monthly property rent bill and a car rental invoice) and the tax rules that decide what you put on the page. It covers rental invoice samples, a rent bill template layout, car rental invoice formats, and what the IRS and HMRC say about deposits, advance rent and VAT.

## What goes on a rent invoice?

A rent invoice needs seven things: your details, the tenant's details, an invoice number, the rental period, itemized charges, the total, and the payment terms. If any one is missing, the tenant has a fair reason to ask a question before paying. For the fields every invoice needs, see [what to put on an invoice](/blog/what-to-put-on-an-invoice-the-message-signature-and-fields), and for sending it, the [invoice email template](/blog/invoice-email-template-how-to-email-an-invoice).

Use this list as your rental invoice template:

1. **Your name or business name, address and contact details.** A landlord who rents through a company should use the company name that appears on the lease.
2. **The tenant or hirer's name and the rented property or item.** For example, "Unit 4B, 22 Harbor Street" or "Compact car, plate ABC-1234".
3. **An invoice number and issue date.** Use a running number so each invoice can be found later.
4. **The rental period.** Write "November 1 to November 30, 2026", not just "November".
5. **Itemized charges.** Show rent, parking, utilities, fees and any credits, each on its own line.
6. **Tax, if any.** Show it as a separate line, with the rate.
7. **Total, due date and how to pay.** State an exact date, such as "Due: November 1, 2026".

## Rent invoice sample: a monthly property rent bill

Below is a filled-in rent bill template for a residential tenancy in the United States. The names and amounts are illustrative, and the layout is what you copy.

**Invoice R-2026-11** · Issued October 25, 2026 · Due November 1, 2026
**Landlord:** Harbor Street Rentals LLC, 22 Harbor Street, Tacoma, Washington
**Tenant:** Priya Nair, Unit 4B
**Rental period:** November 1 to November 30, 2026

| Description | Amount |
|---|---|
| Monthly rent, Unit 4B | $1,850.00 |
| Reserved parking space | $75.00 |
| Water and sewer, reimbursement (invoice attached) | $38.40 |
| **Total due** | **$1,963.40** |

Payment: bank transfer to the account shown on the lease, reference "R-2026-11". A late fee applies only as stated in the signed lease.

Three habits make this invoice hard to argue with. The period is spelled out, the utility reimbursement points to the underlying bill so that the tenant can check it, and the late fee refers back to the lease instead of appearing for the first time here.

## Car rental invoice sample with mileage and fuel

A car rental invoice lists the days hired, the daily rate, any mileage over the allowance, fuel, insurance products and the deposit. Because the hirer returns the car and checks the final bill at the counter, every charge needs a visible basis.

**Invoice CR-5521** · Issued October 20, 2026
**Hirer:** Tom Reyes · **Vehicle:** compact car, plate ABC-1234
**Pickup:** October 16, 2026, 10:00 · **Return:** October 20, 2026, 10:00 · **Mileage allowance:** 200 miles a day

| Description | Qty | Rate | Amount |
|---|---|---|---|
| Daily rental, compact car | 4 days | $48.00 | $192.00 |
| Extra mileage (920 driven, 800 included) | 120 miles | $0.30 | $36.00 |
| Fuel service charge, tank returned below full | 1 | $28.50 | $28.50 |
| Collision damage waiver | 4 days | $14.00 | $56.00 |
| **Subtotal** | | | **$312.50** |
| Sales tax (example rate 7%) | | | $21.88 |
| **Total due** | | | **$334.38** |

Security deposit of $300.00 held on the hirer's card; it is not a charge and is released after the return inspection.

<!-- ORIGINAL DATA: both sample invoices were built for this guide, with every total recalculated line by line. -->

A car rental bill format works for van, tool or equipment hire as well. Swap the mileage line for an hours-used or damage line, and keep the deposit as a note, not a charge.

## How does the IRS treat rent, deposits and advance rent?

The IRS counts rent as income in the year you receive it, and the way you invoice a deposit or prepaid rent changes when it counts. [IRS Publication 527](https://www.irs.gov/publications/p527) says rental income is any payment you receive for the use or occupation of property, and that it is not limited to regular monthly rent payments.

**Advance rent** is any amount received before the period it covers. Publication 527 says to include advance rent in your rental income in the year you receive it, whatever period it covers and whatever your accounting method. Its example is a 10-year lease signed in 2025 where the first and last years' rent of $9,600 each are received in 2025, so $19,200 is included in 2025 income.

A security deposit is treated differently. Publication 527 says not to include a security deposit in income when you receive it if you plan to return it at the end of the lease. If you keep part of it because the tenant breaks the lease terms, that part becomes income for that year. If a deposit is meant to be used as the final payment of rent, it is advance rent.

<!-- UNIQUE INSIGHT: lining up the invoice line (rent, prepaid rent, deposit) against the IRS timing rule shows a landlord which lines need a different label. -->

This is why a rent invoice should label a deposit as a deposit and prepaid rent as prepaid rent. The label keeps your records consistent with the tax treatment. This guide describes the common rules and is not tax advice, so contact an accountant if your lease has unusual terms.

## Does a UK rent invoice need VAT?

Most UK property rent carries no VAT unless the landlord has opted to tax. HMRC's [VAT Notice 742A on opting to tax land and buildings](https://www.gov.uk/guidance/opting-to-tax-land-and-buildings-notice-742a) states that supplies of land and buildings, such as freehold sales, leasing or renting, are normally exempt from VAT. Once a landlord opts to tax, the supplies they make of their interest in the land or buildings will normally be standard-rated.

**VAT** is a tax charged on most goods and services in the UK, and GOV.UK sets the [standard VAT rate at 20%](https://www.gov.uk/vat-rates) for most of them. A landlord who has opted to tax adds a VAT line to the rent invoice, shows the VAT number, and gives net, VAT and gross amounts.

Equipment and car hire are different from property. They are goods or services supplied by a business, and VAT follows the business's registration. [GOV.UK's guidance on when to register for VAT](https://www.gov.uk/vat-registration/when-to-register) says you must register if your total taxable turnover for the last 12 months goes over £90,000. A hire firm under that figure may leave VAT off its invoices unless it registers voluntarily.

Use UK spelling and pounds on these invoices, and write dates in full, such as "1 November 2026".

## Rent invoice line items by type of rental

The line items change with what you rent, so start from the closest list and delete the rest.

**Property rent**

- Monthly rent for the stated period
- Parking, storage or service charges
- Utility reimbursements with the bill attached
- Credits such as an agreed rent reduction

**Vehicle hire**

- Daily or weekly rate
- Mileage over the allowance, per mile
- Fuel service charge
- Insurance or damage waiver, per day
- Additional driver or equipment such as a child seat

**Equipment hire**

- Daily, weekly or monthly rate
- Delivery and collection
- Damage or cleaning charge, if the hire terms say so
- Deposit, shown as a note

## Rent bill mistakes that cause disputes

- **No period.** "Rent" without dates leaves the tenant guessing whether the bill is for this month or the next.
- **Mixing deposit and rent.** A deposit on the same line as the first month's rent hides its different legal and tax treatment.
- **Surprise fees.** Late fees, cleaning charges and mileage rates should appear in the lease or hire agreement before they appear on an invoice.
- **No due date.** "Due on the first" is ambiguous when the first falls on a weekend, so write the calendar date.
- **Missing proof for pass-through costs.** Attach the water, power or repair bill whenever you pass a cost on to a tenant.

The bottom line: state the rental period, itemize every charge, label deposits and prepaid rent correctly, and put a due date on the page. Contact your tax office or an accountant if you are unsure how your rent should be treated.

Invoqk's invoice generator turns a plain description such as "Unit 4B rent November, $1,850, parking $75" into a dated, itemized invoice that you can download as a PDF and email to the tenant.

## FAQ

### What should a rent invoice include?

A rent invoice should include your details, the tenant and rented property, an invoice number, the rental period, itemized charges, tax if it applies, the total and a due date. Naming the exact dates of the period prevents most disputes.

### Do landlords have to issue an invoice for rent?

Landlords often use a lease and a payment schedule instead, and the law differs by place, so check your local rules. An invoice or rent bill is still useful because it records the period, the amount and the due date in one document.

### What is a car rental invoice format?

A car rental invoice lists the hirer, the vehicle, the pickup and return times, the days hired and the daily rate. It then adds mileage, fuel, insurance products, tax and the total. The deposit appears as a note, not as a charge.

### Is a security deposit income for the IRS?

Not when you receive it, if you plan to return it at the end of the lease, according to IRS Publication 527. Any part you keep because the tenant breaks the lease terms is income for that year. A deposit meant as final rent is advance rent.

### Does rent have VAT in the UK?

Usually not. HMRC says renting land and buildings is normally exempt from VAT, but a landlord who has opted to tax makes standard-rated supplies and adds VAT at 20% to the rent. Equipment and car hire follow the hire firm's own VAT registration.
