- An hourly invoice lists the date, task, hours, rate and amount for each block of work, then adds expenses, tax and a due date.
- Write your rounding rule on the invoice: a 47-minute task bills at $66.58 exactly, $68.00 in six-minute steps and $85.00 in 15-minute blocks at $85.00 an hour.
- For 2026, US clients report nonemployee compensation of $2,000 or more on Form 1099-NEC, and Making Tax Digital for Income Tax began on April 6, 2026 for UK sole traders over £50,000.
An hourly invoice is a bill that multiplies the hours you worked by your hourly rate and lists each block of time so the client can check it. An hourly invoice template needs five columns: date, task, hours, rate and amount. Add a total, any expenses, tax and a due date, and the invoice is ready to send.
This guide gives you an invoice template for hours worked in three currencies, a filled-in week of time entries, the rounding rules that cause most disputes, and the 2026 changes that affect freelancers who bill by the hour in the US and UK.
What goes on an invoice template for hours worked?
An invoice template for hours worked needs the same legal fields as any invoice, plus a time breakdown. Billable hours are the hours you can charge a client under your agreement, so only list those. Here are the fields:
| Field | Example | Note |
|---|---|---|
| Your name or business and address | Maya Ortiz Consulting, Austin, TX | Required on any invoice |
| Client name and address | Brightwell Labs, Denver, CO | Match the contract |
| Invoice number | INV-2026-031 | Unique and sequential |
| Invoice date and due date | October 12, 2026; due November 11, 2026 | Spell the month out |
| Work period | October 5 to October 9, 2026 | Shows what the hours cover |
| One line per task or day | "Webhook handler, 7.25 h" | Specific beats "consulting" |
| Hours, rate and amount | 7.25 h × $85.00 = $616.25 | Show the maths |
| Expenses | Hosting, $48.20 | Separate from labor |
| Tax and total | Sales tax or VAT where it applies | Per local rules |
| Payment details | Bank transfer, ACH, PayPal link | How to pay you |

Hourly invoice template, filled in for one week
An hourly invoice template is easiest to understand with real numbers. This one bills 34.5 hours at $85.00 an hour for a US freelance developer, plus one expense.
| Date | Task | Hours | Rate | Amount |
|---|---|---|---|---|
| Mon, Oct 5, 2026 | API integration spec | 6.50 | $85.00 | $552.50 |
| Tue, Oct 6, 2026 | Webhook handler build | 7.25 | $85.00 | $616.25 |
| Wed, Oct 7, 2026 | Code review and client call | 8.00 | $85.00 | $680.00 |
| Thu, Oct 8, 2026 | Bug fixes from QA | 5.75 | $85.00 | $488.75 |
| Fri, Oct 9, 2026 | Documentation and deploy | 7.00 | $85.00 | $595.00 |
| Labor total | 34.50 | $2,932.50 | ||
| Reimbursable expense: hosting | $48.20 | |||
| Invoice total | $2,980.70 |
Three habits make this invoice easy to approve. Each line names the deliverable, not just the hours. The arithmetic is visible on every row. The expense sits below the labor total, so the client sees what is time and what is cost.
Hours worked invoice template: how to round time
An hours worked invoice template should say how you round, because rounding is where hourly disputes start. For example, take a 47-minute task billed at $85.00 an hour:
| Method | Billed time | Amount |
|---|---|---|
| Exact minutes | 47 min | $66.58 |
| Six-minute increments (tenths of an hour), rounded up | 48 min (0.8 h) | $68.00 |
| 15-minute increments, rounded up | 60 min (1.0 h) | $85.00 |
| 30-minute minimum | 60 min (1.0 h) | $85.00 |
The method matters more as tasks get shorter. Ten five-minute emails billed in 15-minute blocks become two and a half hours of charges for under an hour of work. Pick one method, write it into your contract or proposal, and print it in the invoice footer: "Time billed in 0.25-hour increments."
If a client asks for the work log, send it. A time log is a record of start times, end times and tasks, and it settles most disagreements in one email.
Hourly invoice with VAT: UK and Germany
An hourly invoice for a VAT-registered freelancer adds tax on top of the labor total. The standard UK rate is 20%, according to GOV.UK's VAT rates page. Germany's general rate is 19%, according to § 12(1) of the Umsatzsteuergesetz. The same 34.5 hours looks like this:
| Item | UK (GBP) | Germany (EUR) |
|---|---|---|
| Hourly rate | £70.00 | €75.00 |
| 34.5 hours | £2,415.00 | €2,587.50 |
| VAT | £483.00 | €491.63 |
| Total | £2,898.00 | €3,079.13 |
A German invoice must also meet § 14(4) UStG. That list includes full names and addresses, your tax number or USt-IdNr., a sequential invoice number, the date of the service and the amount per tax rate. For hourly work, state the work period in the description so the service date is clear.
A freelancer below the VAT threshold leaves the VAT line off. Contact your tax office or accountant if you are unsure whether you must register.

Hourly invoice with two rates and a retainer
Many hourly freelancers charge more for calls and urgent work than for routine tasks. A blended invoice is one that shows two or more rates, each on its own labeled line, so the client sees why the total is what it is. Keep the rates in your agreement and print them on the invoice.
Here is the same week with a $120.00 rate for client calls and a $1,000.00 retainer already paid:
| Description | Hours | Rate | Amount |
|---|---|---|---|
| Development and review | 32.50 | $85.00 | $2,762.50 |
| Client calls | 2.00 | $120.00 | $240.00 |
| Labor total | 34.50 | $3,002.50 | |
| Reimbursable expense: hosting | $48.20 | ||
| Retainer applied | −$1,000.00 | ||
| Balance due | $2,050.70 |
The retainer appears as a negative line, dated, so the client sees that the money they paid in advance has been used. If a retainer is only partly used, show the remaining balance in the footer.
When to bill hourly and when to quote a flat fee
Hourly billing suits work whose scope is unclear, because both sides pay for what actually happens. A flat fee suits work you can price in advance. The test is simple: could you write the deliverable down today?
A worked comparison shows the trade-off. Suppose a client would pay a flat $3,000.00 for the job above. You worked 34.5 hours, so the flat fee equals $86.96 an hour. If the job had taken 45 hours, the flat fee would have paid $66.67 an hour, and hourly billing at $85.00 would have protected you.
The reverse also holds. If you finish in 25 hours, a flat fee pays $120.00 an hour. Clients often accept that when the result is clear. Our guides How to prepare a quotation: price the job and set terms and Quote template: what to include, with a free example cover the flat-fee route.
Time tracking habits that keep an hourly invoice honest
An hourly invoice is only as good as the time log behind it. Three habits keep both easy:
- Start the timer when you start the task, not when you remember it.
- Write the task description at the moment you stop, while it is fresh.
- Review the week on Friday and merge duplicate entries before they reach the invoice.
Round on the invoice, not in the log. If you keep exact minutes in the log and apply your agreed increment when you invoice, you can always explain the number.
What changed in 2026 for hourly freelancers
Two dated changes affect how hourly freelancers keep records and get reported, one in the US and one in the UK.
US: the 1099-NEC threshold rose to $2,000
Clients must now report larger payments to you before they file a Form 1099-NEC. The IRS instructions for Forms 1099-MISC and 1099-NEC say the threshold for reporting nonemployee compensation is $2,000 or more, for tax years beginning after 2025. It was $600 before. The IRS adds that the figure may be adjusted for inflation beginning in 2027, and that the form is due by January 31.
For you, the practical effect is simple. Your invoices are the paper trail that should match the 1099-NEC a client sends for 2026. Keep the invoice numbers and payment dates together in one place, and check that the client's total equals yours.
UK: Making Tax Digital for Income Tax began April 6, 2026
Making Tax Digital for Income Tax is HMRC's requirement to keep digital records and send quarterly updates. The GOV.UK announcement on Making Tax Digital for Income Tax says it starts in April 2026 for sole traders and landlords with qualifying income over £50,000. The threshold falls to £30,000 from April 2027 and £20,000 from April 2028. Qualifying income is gross income from self-employment and property, before allowances or expenses.
An hourly invoice is a digital record of income. If you will cross the £30,000 line in April 2027, start issuing invoices from software that can export them, instead of from a Word file.
How to describe hours so clients pay without questions
Specific descriptions get approved faster. A client can check "Webhook handler build, 7.25 h" against a pull request. They cannot check "Development, 7.25 h".
Use this pattern for each line:
- Start with a verb: build, review, draft, test, deploy.
- Name the object: the feature, document or meeting.
- Add the reference if there is one: ticket number, project code or purchase order number.
Keep non-billable time off the invoice. Time spent on your own admin is not part of a client's bill.
Common mistakes on an hourly invoice
Hourly invoices are simple, so errors are usually small ones that still delay payment:
- Totals that do not multiply. A reader who finds one wrong row distrusts the rest.
- No work period. The client cannot tell which week the hours cover.
- Mixed rates without labels. If a call is $120.00 an hour and coding is $85.00, show both rates.
- Expenses buried in labor. Reimbursable costs belong on their own lines.
- Missing due date. "Net 30" means little without the date printed.
If your payment terms are shorter than the client's usual cycle, say so in the contract first.
Send the invoice the same day
Send the invoice on the last day of the work period, not the following week. Fresh work gets paid faster than old work. Our guide Invoice email template: how to email an invoice has wording you can reuse for the cover message.
Before you send, check the list:
- Every row multiplies correctly.
- The work period and invoice number are on the page.
- Tax is right for your country, or absent if you are not registered.
- Expenses are separate.
- The due date is a real date.
Frequently asked questions
What should an invoice for hours worked include?
An invoice for hours worked should include your details, the client's details, a unique invoice number, the invoice and due dates, the work period, one line per task with hours and rate, any expenses, tax where it applies, the total and how to pay.
How do I bill partial hours on an invoice?
Bill partial hours as decimals, such as 0.25 for 15 minutes or 0.75 for 45 minutes. State your increment, for example 0.25-hour steps, on the invoice and in your contract so the client knows exactly how short tasks are rounded.
Do I charge VAT on hourly work in the UK?
Only if you are VAT-registered. A registered UK freelancer adds VAT at the standard rate of 20% to the labor total, according to GOV.UK. A freelancer below the registration threshold leaves the VAT line and VAT number off the invoice.
Do I need to send a timesheet with an hourly invoice?
Not always, but a dated list of tasks on the invoice is the minimum. Send the full time log if the client asks or the contract requires it. A clear log settles most disputes about hours in a single email.
