- An invoice book is a pad of pre-numbered carbonless invoice sets, best for cash and on-site jobs where you have no laptop or signal.
- Every page must have room for the fields tax law requires, such as the supply date, tax rate and tax amount under § 14 UStG in Germany.
- A Google Docs bill template is free but numbers nothing for you, so keep a log; a generator adds numbering and totals automatically.
An invoice book is a bound pad of pre-numbered invoice forms, usually with carbonless copy sheets, that a seller fills in by hand and tears out for the customer. If you are choosing between an invoice book, a custom invoice book with your logo, or a Google Docs bill template, the answer depends on how many invoices you send and where you work.
This guide is for freelancers and small businesses in the United States, the United Kingdom and Germany. It describes common practice and the published rules. It is not tax or legal advice.
What is an invoice book and who still uses one?
An invoice book is a pad of numbered, duplicate or triplicate invoice sets. The top sheet goes to the customer. The carbonless copy underneath stays in the book as your record. Because the numbers are printed, you cannot skip or reuse one by accident.
Tradespeople, market sellers, mobile mechanics and delivery drivers use invoice books most. They bill on site, in a van or at a counter, with no laptop and no signal. A book also suits a customer who pays cash on the spot and wants a paper copy.
Office-based freelancers rarely need one. A consultant who sends 12 invoices a month by email gains little from a pad of paper.
What types of invoice book can you buy?
Invoice books differ in copies, paper type and size. Pick the type that matches how you work.
| Type | Copies | Best for | Weak spot |
|---|---|---|---|
| Duplicate carbonless book | 2 (customer + you) | Cash jobs, one-person trades | No spare copy for a bookkeeper |
| Triplicate carbonless book | 3 (customer + you + accounts) | Teams, delivery drivers | Bulkier, costs more per set |
| Single-sheet tear-off pad | 1 | Quick quotes and receipts | No record is kept for you |
| Custom invoice book with logo | 2 or 3 | Brands that want a professional look | Minimum order and lead time |
| Invoice booklet (A5 or pocket) | 2 | Drivers, mobile sellers | Few lines per page |
A carbonless invoice book uses chemically coated paper, so pressure from your pen transfers the writing to the sheet below without a carbon layer. Write firmly on a hard surface. Slip a stiff card behind the last copy so the next set does not take an imprint.
What should a custom invoice book with a logo include?
A custom invoice book is an invoice pad printed to your design, with your business name, logo and details. Order one only after you have written down every field a page must carry. Reprinting a book because a field is missing wastes money.
Use this checklist before you approve the proof:
- Your legal or trading name, address, phone and email.
- Your logo, sized so it does not crowd the line items.
- A pre-printed, running invoice number on every set.
- A box for the customer's name and address.
- A box for the issue date and a separate box for the date of supply.
- At least 8 to 10 ruled lines with columns for description, quantity, unit price and amount.
- A subtotal, a tax line and a total.
- Your tax number or VAT ID, if you have one.
- A footer for payment terms and bank details.
The tax rules explain items 3 to 8. In Germany, § 14 UStG lists what a regular invoice must show. That includes the full name and address of both parties, a tax number or VAT ID, the issue date and a sequential number. It also needs the quantity and type of goods or services, the date of supply, the net amount by tax rate, the tax rate and the tax amount.
A book printed without a field for the supply date, or without room for a tax rate and a tax amount, will not meet that list. Check the proof against it.
How much does a handwritten invoice book really cost per invoice?
A book is cheap per page but expensive in time. Every figure in the table is an assumption for a 2026 illustration, not a quote. Replace each one with your own.
| Item | Assumption | Result |
|---|---|---|
| Custom duplicate book, 50 sets | $45 per book | $0.90 per invoice |
| Time to write, total and copy one invoice by hand | 8 minutes | 8 minutes |
| Time to type the same invoice from a saved template | 3 minutes | 3 minutes |
| Extra minutes per invoice by hand | 8 - 3 | 5 minutes |
| Extra time over 40 invoices a year | 5 x 40 | 200 minutes (3 hours 20 minutes) |
On those assumptions the book costs about $45 for 50 invoices. The real cost is the 200 minutes spent writing, plus the retyping you do later to enter each paper invoice into your accounts. For a handful of cash jobs a month, the book wins. For 40 or more email invoices a year, a template wins.
Can you use a Google Docs bill template instead?
Yes. A Google Docs bill template is a reusable invoice layout stored in Google Docs. You copy it for each job, change the details and export a PDF. It costs nothing and works on a phone.
To set one up in about 20 minutes:
- Open a blank Google Doc and insert a table with columns for description, quantity, rate and amount.
- Add your business details and logo at the top.
- Add labelled lines for invoice number, issue date, due date and tax.
- Add a payment-details footer.
- Save the file as "Invoice TEMPLATE" and never edit it directly.
- For each job, choose File, then Make a copy, and name the copy with the invoice number.
An invoice Google Doc template has one big weakness: it does nothing for you. It will not add up the lines. It will not raise the next number. Nothing stops you from sending two invoices with the same number. Keep a simple log, such as a Sheets tab, with the number, date, client and amount, and check it before every send.
If you want automatic totals, build the same layout in Google Sheets with a SUM formula for the subtotal and a tax cell that multiplies the subtotal by your rate.
Invoice book, Google Docs or a generator: which is better?
The table below shows the three options at a glance. An invoice book suits cash and on-site work. A Google Docs template suits low volume and zero budget. An invoice generator suits anyone who invoices by email, wants automatic numbering and totals, and needs a clean record.
| Need | Invoice book | Google Docs template | Invoice generator |
|---|---|---|---|
| Works with no signal | Yes | No | No |
| Automatic invoice numbers | Pre-printed | No, manual | Yes |
| Automatic totals and tax | No | No (Sheets only) | Yes |
| Paper copy kept for you | Yes, carbonless | No | No, stored digitally |
| Email as PDF | No | Manual export | Built in |
| Cost per invoice | About $0.90 | Free | Free to low |
Many small sellers use two. They keep a book in the van for cash jobs and a template or generator for everything sent by email. If you do, use separate number ranges. Give the book numbers from 1 and the digital invoices a prefix, such as "D-". Do not let two systems issue the same number. For example, a mechanic might run book numbers 0001 to 0050 and digital numbers D-001 onward, so a duplicate can never happen.
How do you fill in an invoice book page correctly?
Fill in every field on every page, in ink, and press hard enough to reach the last copy. The example below shows a finished page for a US mobile mechanic.
INVOICE No. 0147 Date: October 8, 2026
Date of service: October 8, 2026
Bill to: R. Alvarez, 22 Maple Street, Dayton, OH 45402
Description Qty Unit price Amount
Brake pad set (front) 1 $62.00 $62.00
Brake fluid, DOT 4 2 $9.50 $19.00
Labor, hours 1.5 $85.00 $127.50
Subtotal $208.50
Sales tax (assumed rate) $15.12
TOTAL DUE $223.62
Payment: Due on receipt. Cash or check.
The sales tax rate here is an assumed 7.25 percent (an assumed 2026 illustration, not a real rate for any state). Use the rate that applies in your state and city. The arithmetic is $208.50 x 0.0725 = $15.11625, which rounds to $15.12.
In Germany the same page needs the tax rate and the tax amount, plus the date of the supply. For an invoice total of 250 euros or less, § 33 UStDV allows a simplified small-amount invoice. It needs the supplier's name and address, the issue date, the quantity and type of goods or services, and the amount with the tax rate in one figure. If the supply is tax-exempt, it must say so.
How long should you keep invoice book copies?
Keep every carbonless copy as long as your tax authority can ask for it. In the United States, the default is 3 years. It rises to 6 years if you leave out more than 25% of the gross income on your return, and to indefinitely if you file no return or a fraudulent one, according to the IRS record retention guidance.
Carbonless copies fade. Photograph or scan each book page when you finish the job, and store the file under the invoice number. Keep the paper copy in the book until the whole book is full, then box it by year.
Numbering is the other control. Our guide What is an invoice number? How to number invoices explains the sequence rules in detail, and How to write an invoice covers the fields on a digital invoice.
What mistakes do people make with invoice books?
Most problems come from the same five habits:
- Skipping a number. A torn-out and discarded page leaves a gap. Write "VOID" across the page and keep it in the book.
- Pressing too lightly. The bottom copy comes out unreadable, so you have no record.
- No date of supply. The page shows one date only, and a customer or auditor cannot tell when the work happened.
- Handwriting the tax. Mental arithmetic on a tax line produces wrong totals. Use a pocket calculator.
- Never entering the copies. Paper copies in a drawer do not reach your books. Enter them weekly.
If you want the speed of a book without the retyping, try the Invoqk invoice generator. Paste your job notes and it produces a numbered invoice with the totals done.

Frequently asked questions
What is an invoice book?
An invoice book is a bound pad of pre-numbered invoice forms, usually carbonless duplicate or triplicate sets. You fill in a page by hand, tear off the top copy for the customer and keep the copy underneath as your record. It suits cash and on-site work.
How does a carbonless invoice book work?
A carbonless invoice book uses paper coated with a chemical that develops a mark under pen pressure. Writing on the top sheet transfers to the sheet below without carbon paper. Press firmly on a hard surface and slip a card behind the last copy.
Can I make a custom invoice book with my logo?
Yes. Printers produce custom invoice books with your logo, details and a pre-printed running number. Before you approve the proof, check the page has room for the customer details, supply date, line items, tax rate, tax amount, total and payment terms.
Is a Google Docs bill template good enough for invoices?
A Google Docs bill template is fine for low volume. It is free and works on a phone, but it will not add totals or raise invoice numbers for you. Keep a log of issued numbers so you never send two invoices with the same number.
How long should I keep invoice book copies?
In the United States the IRS default is 3 years, rising to 6 years if you omit more than 25% of gross income and indefinitely if you file no return. Scan carbonless copies, because the ink fades over time.
