A painting invoice template listing prep labor, painting labor, paint, primer and supplies
Key takeaways
  • A painting invoice names the job address and scope, then lists prep labor, painting labor, paint, primer and supplies as separate line items with the deposit and balance.
  • In the UK, a VAT-registered painter charges VAT at the standard rate to homeowners, but invoices a CIS contractor under the domestic reverse charge with the sentence "Reverse charge: Customer to pay the VAT to HMRC".
  • For 2026, US contractors report nonemployee compensation of $2,000 or more on Form 1099-NEC, and German business invoices move to e-invoices after December 31, 2026 or December 31, 2027 for small issuers.

A painting invoice is a bill from a painter or decorator that names the job address, describes the surfaces painted, lists labor and materials as separate line items, and shows the deposit, tax and balance due. The painting invoice template and sample below are filled in with real numbers for a US interior repaint, a UK exterior job and a German apartment. Copy the layout, change the figures, and send it when the last coat is dry.

The short answer to "what goes on it": the address, the scope, hours or a fixed price for prep and painting, paint by the gallon, supplies, the deposit you already took and the balance. Tax and paperwork rules differ by country, so each has its own section.

What must a painting invoice include?

A painting invoice must let the client see what they paid for, room by room or surface by surface. Scope of work is the written list of surfaces, coats and preparation the price covers, and it belongs on the invoice as well as the quote. Use these fields:

Painting invoice sample: interior repaint (US)

This painting invoice sample bills a three-bedroom interior repaint with hourly labor. Prep is billed separately because it is where painters lose money when they bundle it.

Labor is about three-quarters of this invoice, so the hours must be defensible. Our guide Contractor invoice template: what to include, with examples covers the fields common to every trade.

Painting invoice template priced by the room

Some painters quote a fixed price per room instead of hours. The invoice then lists rooms, each with a short scope. Here is an example for the same house:

RoomScopePrice
Living roomWalls and ceiling, 2 coats$520.00
KitchenWalls and ceiling, 2 coats, cabinet-wall cut-in$380.00
Bedrooms 1 to 3Walls, 2 coats, $300.00 each$900.00
HallwayWalls and ceiling, 2 coats$210.00
Trim and doorsSand, prime and 2 coats gloss$240.00
Total$2,250.00

Per-room pricing is easy for the client to read. It works only if the quote defined the room's condition. Add a clause that extra prep, such as water-damage repair, is billed separately.

Free painting invoice template for the UK: VAT and the reverse charge

A UK painter who is VAT-registered adds VAT at the standard rate, which is 20%, according to GOV.UK's VAT rates page. Painting a home for a homeowner is the normal case. A different rule applies when the customer is a building contractor.

The domestic reverse charge is a VAT rule where the customer, not the supplier, accounts for the VAT on certain construction services. HMRC's guidance on the domestic reverse charge says it applies to VAT-registered businesses for services reported within the Construction Industry Scheme (CIS). The list of covered work includes painting or decorating the inside or external surfaces of any building or structure. The charge started on March 1, 2021.

Here is the same £4,200 exterior job invoiced two ways:

LineHomeowner customerContractor customer under the reverse charge
Labor£2,800.00£2,800.00
Materials£1,400.00£1,400.00
Net total£4,200.00£4,200.00
VAT charged£840.00£0.00
Amount payable£5,040.00£4,200.00
Note on invoiceNone"Reverse charge: Customer to pay the VAT to HMRC"

HMRC's manual on reverse charge invoices says the invoice must make clear the reverse charge applies and gives that sentence as one acceptable example. It also says the VAT due under the reverse charge should be stated but left out of the total VAT charged.

The reverse charge does not apply to every business customer. HMRC says it does not apply when an end user tells the supplier in writing that it is an end user. If you are unsure which case you have, contact HMRC or your accountant before issuing the invoice.

Painting invoice in Germany: Malerrechnung and §35a

German homeowners can reduce their income tax for craftsman work, and the painter's invoice must make that possible. Section 35a of the Einkommensteuergesetz (EStG) lets a taxpayer reduce income tax by 20% of the cost of craftsman services in their household, up to €1,200. Only labor counts, the client needs an invoice, and the payment must go to the painter's bank account.

That gives an invoice rule: show labor and materials on separate lines, and ask the client to pay by transfer. The general VAT rate is 19%, according to § 12(1) UStG. An example invoice for an apartment:

LineNetVATGross
Arbeitskosten (labor), 40 h at €45.00€1,800.00€342.00€2,142.00
Material (paint, primer, tape)€600.00€114.00€714.00
Total€2,400.00€456.00€2,856.00

The labor the client paid is €2,142.00. The §35a reduction on that amount is €428.40, which is below the €1,200 cap. Whether a client can claim it depends on their own tax situation, so a painter should print the split and leave the claim to the client.

Lead-safe painting: what US painters add to the invoice

Painters working on older US homes have a paperwork duty that belongs in the job file and on the invoice. EPA says anyone paid to disturb paint in housing or child-occupied facilities built before 1978 must be a certified firm, and firms must give the "Renovate Right" lead pamphlet before work begins and document that they did. EPA's page for renovation, repair and painting contractors lists painters among the trades covered.

Add one line to the scope: "Lead-safe work practices applied; Renovate Right pamphlet delivered on October 1, 2026." It costs nothing and shows the client the work followed the rule.

What changed in 2026 for painting contractors

Two dated changes matter to painters who work as subcontractors or bill companies.

In the US, the reporting threshold for Form 1099-NEC rose. The IRS instructions for Forms 1099-MISC and 1099-NEC say nonemployee compensation of $2,000 or more is reported, for tax years beginning after 2025. A general contractor that pays you $2,500 in 2026 should file one, and your invoices should total the same amount.

In Germany, e-invoices are phasing in for business-to-business invoices. The Federal Ministry of Finance says in its E-Rechnung questions and answers that other invoice formats may be used until December 31, 2026, or until December 31, 2027 for issuers with prior-year turnover of €800,000 or less. A painter who invoices a landlord company or property manager should check that their software can issue an XRechnung or ZUGFeRD file. Invoices to private homeowners are not business-to-business.

How to bill extra work and change orders

A change order is a written agreement to add or change work after the original price was set. Painters meet them often: a client asks for the hallway ceiling too, or the prep reveals water damage. Bill each change order on its own line, with the date the client approved it.

For example, suppose the client adds the garage door and trim on October 8, 2026. The invoice gets two extra lines:

DescriptionQtyUnit priceAmount
Change order 1, approved Oct 8, 2026: garage door, sand and 2 coats1$180.00$180.00
Change order 1: exterior-grade paint, 1 gal1$52.00$52.00

The original total then rises from $2,067.00 to $2,299.00. Keep the approval as a text message or email. A client who approved the work in writing rarely disputes the line later.

Common mistakes on a painting invoice

Painters get paid late for the same few reasons:

  • Lumping prep into painting. Prep is real work, and a client who sees it is less likely to dispute it.
  • No color or product code. The client cannot buy matching touch-up paint later.
  • Vague scope. "Paint house" invites an argument about trim, ceilings and doors.
  • Hidden extras. Extra coats or repairs need their own lines with the approval date.
  • No deposit line. The client forgets what they paid and the balance looks wrong.

Final check before you send

Before you send a painting invoice, confirm these six items:

  1. The scope names rooms or surfaces and the number of coats.
  2. Labor, paint and supplies are on separate lines.
  3. Every row multiplies correctly.
  4. The deposit and balance are right.
  5. Tax or reverse-charge wording matches the customer.
  6. The invoice number is unique and sequential.

Frequently asked questions

What should a painting invoice include?

A painting invoice should include your details, the client and job address, an invoice number and date, the scope of work, labor, paint and supplies as separate lines, any deposit received, the balance due, tax where it applies and your payment terms.

How do I price a painting invoice: by the hour or by the room?

Either works. Hourly labor suits jobs with unknown prep, while per-room prices are easier for clients to read. Whichever you use, write the scope and the number of coats on the invoice, and bill extra repairs on their own lines.

Do painters charge VAT in the UK?

A VAT-registered UK painter charges VAT at the standard rate of 20% on work for homeowners, according to GOV.UK. When the customer is a CIS-registered contractor, the domestic reverse charge usually applies instead and the painter does not charge VAT.

Can a homeowner in Germany claim painter costs on their taxes?

Under § 35a EStG, a homeowner can reduce income tax by 20% of craftsman labor costs, up to €1,200, if they have an invoice and pay by bank transfer. Materials do not count, so the invoice should split labor from materials.
