- Under UCC section 2-201, a US goods contract of $500 or more needs a signed writing, so have large orders signed or confirmed.
In brief, a PO generator is a form that turns your item list into a numbered, totalled purchase order you can download and send. You enter the supplier, the items and the delivery terms. The generator adds the PO number and the arithmetic. This guide shows how to create a purchase order online for free, a filled-in example, and what a good free purchase order generator should do for you.
What is a PO generator?
A PO generator is an online tool that builds a purchase order document from a form, so a buyer does not have to format one by hand. A purchase order is a document a buyer sends a supplier to request goods or services at stated quantities and prices. The tool numbers the order, totals the lines and exports a PDF.
Buyers use a free online purchase order generator when they need a clean document fast and have no purchasing system. The result is a record both sides can match against later. Our post Purchase order sample: format, fields and a worked example shows the layout in detail, and How to create a purchase order, step by step, with an example covers the manual process.
How do you create a purchase order online for free?
You create a purchase order online by entering your details, the supplier's details, the line items and the terms, then downloading the PDF. Follow these steps:
- Enter your business name, address and contact details as the buyer.
- Enter the supplier's name and address.
- Add a PO number and the order date. A PO number is the unique reference the buyer gives each order, and net 30 is a payment term that means the invoice is due 30 days after its date.
- List each item with a description, quantity and unit price.
- Add delivery address, delivery date and payment terms.
- Check the totals, then download and send the PDF.
Most generators fill in steps 3 and 6 for you. For example, the PO number and the grand total appear without any typing. Step 4 is where errors creep in, so read the quantities twice.
What a purchase order generator should do
A good purchase order generator saves you from the mistakes that cause disputes later. Use this checklist when you pick one.
| Feature | Why it matters |
|---|---|
| Automatic PO numbers | Gives every order a unique reference |
| Line totals and grand total | Removes arithmetic mistakes |
| Delivery address and date fields | Stops "where and when" arguments |
| Payment terms field | Sets net 30 or other terms before shipping |
| Tax and shipping lines | Keeps the total equal to what you will be invoiced |
| PDF export | Gives the supplier a document they can keep |
| No watermark on free plans | Lets you send it as is |
The totals matter because the supplier's invoice must state the amount owed, as GOV.UK's guidance on invoice contents makes clear. A PO whose total already includes delivery and tax is easy to match against that invoice.
If a free tool hides the PDF behind a signup or stamps its brand across the page, treat that as a cost.
A worked example: a filled-in purchase order
The example below shows a small print shop ordering paper. All names and prices are illustrative.
| Buyer | Pine & Co Print, 22 Mill Road, Leeds LS1 4AB |
| Supplier | Northern Paper Supplies, 9 Dock Street, Hull HU1 2AB |
| PO number | PO-2026-0147 |
| Order date | October 13, 2026 |
| Delivery date | October 20, 2026 |
| Payment terms | Net 30 |
| Item | Qty | Unit price | Amount |
|---|---|---|---|
| A4 paper, 80gsm, box of 5 reams | 40 | £21.50 | £860.00 |
| A3 paper, 100gsm, box of 5 reams | 10 | £38.00 | £380.00 |
| Delivery | 1 | £35.00 | £35.00 |
| Order total (before VAT) | £1,275.00 |
The order total is shown before VAT because the supplier adds VAT on its invoice, using the rules in HMRC's VAT guide. The two item lines come to £1,240.00. Delivery adds £35.00, which gives the total. A supplier who ships 38 boxes instead of 40 will invoice £817.00 for A4, and the buyer can see the gap because the PO states the agreed quantity.
Types of purchase order a generator should support
Not every order is a one-off, so a useful generator handles more than one kind. A blanket purchase order is a standing order for repeated deliveries of the same items over a set period at an agreed price. A one-time purchase order covers a single delivery, like the paper order above.
| Type | Best for | What to set |
|---|---|---|
| One-time PO | A single delivery | Items, quantity, date |
| Blanket PO | Repeat supplies | Period, price list, spend cap |
| Service PO | Work by hours or milestones | Scope, rate, hours cap |
Service orders deserve extra care. State the scope of work, the hourly rate and a ceiling on hours, so the supplier cannot bill past the approved amount without asking first.
Bill-to, ship-to and numbering
Most PO mistakes come from two address fields and one number. The bill-to address is where the supplier sends the invoice. The ship-to address is where the goods are delivered. They are often different, for example head office for invoices and a warehouse for deliveries, so a generator should offer both fields.
For numbering, use a format that is unique and easy to sort, such as PO-2026-0147, where 2026 is the year and 0147 is the running count. Never reuse a number, even for a cancelled order. Mark the cancelled PO as void and keep it on file, so gaps in the sequence can be explained later.
Before you send any PO, run through this short check:
- The supplier name and address match their invoices.
- Every line has a quantity, a unit price and a total.
- Delivery and bill-to addresses are both filled in.
- The delivery date is one the supplier can meet.
- Someone with spending authority has approved the total.
Does a purchase order need a signature?
A purchase order for a large goods order should be signed or otherwise confirmed in writing. In the United States, UCC section 2-201 says a contract for the sale of goods for $500 or more cannot be enforced unless a writing shows that a contract was made and is signed by the party being held to it. The £1,275.00 example is well above $500 at any recent pound-to-dollar exchange rate, so it clears the $500 line and a signed PO helps both sides.
Between merchants, the UCC merchant confirmation rule lets a written confirmation sent within a reasonable time stand in, unless the recipient objects in writing within 10 days of receiving it. This is general information, not legal advice, and the rules differ outside the United States. For a high-value order, ask the supplier to countersign or reply with a written acceptance.
How a purchase order connects to the invoice
A purchase order is the first document in a chain. The supplier confirms it with a sales order, delivers, and then sends an invoice quoting the PO number. GOV.UK's list of required invoice details says an invoice needs a unique number, a description of what is charged, the supply date and the amount owed. Under the GOV.UK invoice rules for sole traders and companies, the supplier must also show its own name and address. Printing your PO number on the invoice lets the buyer match the two quickly.
Matching works like this:
- The buyer compares the PO with the delivery note.
- The buyer compares the delivery note with the supplier's invoice.
- The buyer pays only when quantity and price agree.
Our guide on sales order vs invoice explains the supplier side of this chain.
What if the supplier delivers less than you ordered?
When a supplier delivers less than the PO states, the buyer pays only for what arrived and keeps the PO open for the balance. Compare the delivery note with the PO line by line. In the example, 38 boxes of A4 delivered against 40 ordered means the invoice should show 38 boxes at £21.50, or £817.00, and the PO stays open for the two missing boxes. Ask the supplier for a corrected invoice if the quantity or price differs from the PO.
Would a short delivery change the PO number? No. The same PO covers the later delivery, so the supplier should quote it again on the second invoice.
Common mistakes with a free PO generator
- Reusing a PO number.
- Leaving out the delivery date.
- Forgetting delivery and tax lines, so the invoice does not match.
- Sending a PO with no payment terms.
- Saving only a screenshot instead of the PDF.
Keep every PO in one folder or spreadsheet so you can find it when the invoice arrives.
