- An HVAC invoice needs your details, the job-site address, equipment model and serial number, itemized labor, parts, refrigerant, tax and payment terms.
- List refrigerant by type and pounds, and the diagnostic fee on its own line, so no billable work is given away.
- In the UK, installing heat pumps in homes is zero-rated for VAT from May 1, 2023 to March 31, 2027, per HMRC VAT Notice 708/6.
An HVAC invoice template is a ready-made billing document for heating, ventilation and air conditioning work. It lists labor, parts, refrigerant and fees so a customer can see exactly what they are paying for. This guide gives you the fields, a filled-in service call and the points that differ between a repair and an install.
What should an HVAC invoice include?
An HVAC invoice should include your business details, the customer and job-site address, a unique invoice number, the service date, itemized labor and parts, tax, the total and payment terms. Those are the same fields any contractor invoice needs. HVAC adds a few of its own. For the fields every invoice needs, see what to put on an invoice, and for sending it, the invoice email template. See also the contractor invoice template covers a related case.
Use this checklist:
- Your details. Business name, address, phone and license number if your state or county issues one.
- Customer and site. The billing name and the address where the equipment sits. They are often different for landlords.
- Invoice number and dates. A unique number, the date of service and the due date.
- Equipment. Make, model and serial number of the unit you worked on.
- Labor. Hours and hourly rate, or a flat rate for the task.
- Parts and refrigerant. Each part by name and quantity. Refrigerant by type and pounds used.
- Fees. Diagnostic or trip charge, shown on its own line.
- Tax and total. Tax per line type, then the amount due.
- Terms and payment details. Due date, accepted methods and any warranty period.
HVAC service invoice example (USD)
This HVAC service invoice shows a no-cool call on a residential split system. The numbers are illustrative. Your rates and your state's tax treatment will differ.
| Line | Qty | Rate | Amount |
|---|---|---|---|
| Diagnostic fee | 1 | $89.00 | $89.00 |
| Labor, repair | 2.5 h | $125.00 | $312.50 |
| Run capacitor, 45/5 MFD | 1 | $38.00 | $38.00 |
| Contactor, 30A | 1 | $42.50 | $42.50 |
| Refrigerant R-410A | 2 lb | $40.00 | $80.00 |
| Subtotal | $562.00 | ||
| Sales tax, 7% on parts and refrigerant ($160.50) | $11.24 | ||
| Total due | $573.24 |
In this example the tax applies to parts and refrigerant only. Whether labor is taxable depends on your state, so check with your state revenue department before you copy the layout.
Add one line of notes under the table: "Unit: Model XYZ-24, serial 1234567. 90-day parts warranty." That single line settles most later disputes.
How is an HVAC repair invoice different from an install invoice?
A repair invoice bills time and parts after the work is done. An install invoice bills a contracted price, usually in stages. Both need the same core fields, but the structure changes. Browse more free invoice templates for other trades.
| Repair or service call | New install | |
|---|---|---|
| Billing basis | Time and materials | Fixed quote, often with a deposit |
| Typical lines | Diagnostic, labor, parts, refrigerant | Equipment, ductwork, labor, permit |
| Invoice timing | On completion | Deposit, progress, final |
| Equipment detail | Model and serial of the unit serviced | Model and serial of each new unit |
For installs, list the equipment as its own line and show the deposit already paid as a credit. Our contractor invoice template guide covers staged billing in more detail.
Do you charge VAT on HVAC work in the UK?
Most UK HVAC work is standard-rated at 20%, but installing heat pumps in homes is currently zero-rated. According to HMRC VAT Notice 708/6, installations of energy-saving materials made between May 1, 2023 and March 31, 2027 carry 0% VAT. From April 1, 2027 the rate reverts to 5%.
Only the installation is covered. The notice says ground and air source heat pumps are on the zero-rated list. It also excludes some non-residential premises.
Example for a UK air source heat pump install:
| Line | Amount |
|---|---|
| Air source heat pump, supplied and installed | £8,400.00 |
| VAT at 0% (installation of energy-saving materials) | £0.00 |
| Total due | £8,400.00 |
State the rate and the reason on the invoice. According to GOV.UK guidance on VAT invoices, a VAT invoice must include your VAT number and show the VAT separately. Read the notice before applying it, because eligibility depends on the property and the equipment.
How long should you keep HVAC invoices?
Keep invoices for at least three years in the United States. According to the IRS guidance on how long to keep records, you should keep records for 3 years from the date you file your return, and for 6 years if you underreport income by more than 25%. The IRS adds that employment tax records need at least 4 years.
IRS Publication 583 describes a simple record system for small businesses. Your state may ask for longer, and so may warranty claims. Keeping each PDF with the job address in the file name makes the search easy.
What mistakes cost HVAC contractors money on invoices?
The costliest invoice mistake is leaving out work you actually did. Consider a tech who replaces a capacitor, tops off 2 lb of refrigerant and bills only for labor. At $40 per pound, that is $80 of refrigerant plus $38 of parts given away on one call. Over 20 calls a month, the gap reaches $2,360.
What else goes missing? Three things show up again and again:
- No trip or diagnostic fee. The visit costs fuel and time even if the customer declines the repair.
- Rounded-down hours. For example, 2 hours 40 minutes billed as 2 hours loses 40 minutes at your full rate every time.
- Add-ons agreed on site. A verbal "while you are here" job needs its own line, written the same day.
Would your customer dispute a line they can read? Rarely. They dispute the line they cannot understand. Name the part, give the quantity and show the rate.
How to get paid faster on HVAC jobs
Send the invoice before you leave the customer's property. An invoice issued on the same day is generally paid sooner than one that waits for administrative time at the weekend. These habits help:
- State the due date, not just "net 15".
- Add a payment link or bank details on the invoice.
- Put the late fee in the terms before the job starts. The late fee calculator shows what a percentage costs on your typical invoice.
- Bill maintenance contracts on a schedule rather than by hand.

Frequently asked questions
Is there a free HVAC invoice template?
Yes. You can build one free in Invoqk by describing the job in a sentence, then download it as a PDF. The free plan has no account requirement and shows ads. Upgrade to Pro for your logo, emailed invoices and no ads.
What is the difference between an HVAC invoice and an estimate?
An **estimate** is a price offered before the work. An invoice is a request for payment after the work is done. Estimates can change. An invoice should match the agreed price plus any approved extras. Keep both documents so the totals reconcile during bookkeeping.
Should refrigerant be a separate line on an HVAC invoice?
Yes. List the refrigerant type and the pounds used on its own line. It makes the bill easy to read and lets the customer see what they paid for. It also gives you a record that matches your service log.
How do I invoice HVAC maintenance contracts?
Create a recurring invoice for the agreed amount on the agreed date. Pro includes recurring invoices that create a draft on a schedule, so you review each one before it goes out. State the contract term and what each visit covers on the invoice.
