Three itemized receipts: a retail receipt, a restaurant check and a delivery receipt
Key takeaways
  • An itemized receipt lists each item with quantity, price and tax; the IRS says evidence generally needs the amount, date, place and essential character of the expense.
  • A restaurant receipt should show the venue, date, amount and number of people served, and a delivery receipt should record ordered versus delivered quantities with a signature.
  • In Germany a simplified receipt is allowed up to 250 euros if it shows supplier, date, goods or services and the amount with the tax rate.

An itemized receipt is a proof of payment that lists each item or service bought, with its quantity, price and tax, instead of showing only a single total. The itemized receipt example below comes in three formats: retail, restaurant and delivery. Each one shows the fields that make it useful for an expense claim or a bookkeeping record.

This guide is written for freelancers and small businesses in the United States, the United Kingdom and Germany. It describes common practice and cites the published rules. It is not tax or legal advice.

What does an itemized receipt show?

An itemized receipt shows who sold, what was sold, when, for how much and how it was paid. A total on its own proves little, because the reader cannot tell whether the purchase was a business cost.

These are the fields most itemized receipts carry:

  1. The seller's name, address and, where it applies, tax number or VAT ID.
  2. The date and, for retail and restaurants, the time.
  3. A receipt number or transaction reference.
  4. One line per item with a description, quantity, unit price and line amount.
  5. A subtotal, any discount, the tax amount and the total.
  6. The payment method, such as cash, card or transfer.

In the United States, the IRS says documentary evidence is generally adequate if it shows the amount, date, place and essential character of the expense, according to IRS Publication 463. The essential character is the part an itemized receipt supplies. "Hardware store, $86.40" does not say what was bought. A line-by-line list does.

Itemized receipt example 1: a retail purchase

A retail receipt lists goods with quantities and unit prices, then adds tax. The sample below is a stationery purchase by a freelancer. Every figure is an assumed 2026 illustration, so replace each one with your own.

BRIGHTLINE STATIONERY
48 High Street, Manchester M1 1AA
VAT No. GB 000 0000 00 (sample)

Receipt No. 004817 October 8, 2026 14:32

Item Qty Unit price Amount
A4 notebook, ruled 3 £3.50 £10.50
Gel pens, black (pack) 2 £4.20 £8.40
Desk organizer 1 £18.00 £18.00

Subtotal £36.90
VAT (standard rate) £7.38
TOTAL £44.28

Paid: Card (Visa ****4421)

The arithmetic is plain. The lines are 3 x £3.50 = £10.50, 2 x £4.20 = £8.40 and £18.00. They add up to £36.90. VAT at the UK standard rate is 20% of £36.90, which is £7.38, and the total is £44.28. The 20% figure is the standard rate that GOV.UK VAT rates lists for most goods and services.

If this purchase is a business cost, the freelancer writes the purpose on the back of the paper receipt or in the accounting record, for example "client workshop supplies".

Itemized receipt example 2: a restaurant receipt

A restaurant receipt shows the venue, the date, the number of guests, the items and the tip. The IRS lists the details it expects on a restaurant receipt in its travel and meals records guidance: the restaurant's name and location, the number of people served, and the date and amount. If the receipt includes items other than food and beverages, it must say so.

Here is a restaurant receipt sample for a client lunch. The figures are an assumed 2026 illustration.

CASA VERDE RESTAURANT
220 Market Street, Austin, TX 78701

Check 5512 Table 9 Guests: 2
Date: October 8, 2026 12:41

Item Qty Price
Caprese salad 1 $12.00
Grilled salmon 1 $24.50
Pasta primavera 1 $18.00
Sparkling water 2 $6.00

Subtotal $60.50
Sales tax (assumed rate) $4.99
Tip $11.00
TOTAL CHARGED $76.49

Paid: Card ending 3308

Notice the guests line. It is the detail most printed restaurant receipts omit, and it is the one an expense reviewer asks about. If your receipt has no guest count, write it on the receipt at the table and note the names and business purpose.

The restaurant receipt format above also separates the tip from the tax. Keep them apart, because tax is the seller's charge and the tip is a separate payment.

Itemized receipt example 3: a delivery receipt

A delivery receipt is a document that records goods handed over, signed by the person who received them. It differs from a payment receipt, because it proves delivery and condition rather than payment. A sample delivery receipt form is useful when you ship goods and need to show the buyer accepted them.

DELIVERY RECEIPT No. DR-2026-0316

The "ordered" and "delivered" columns are the valuable part. When the two numbers differ, the receipt records the shortfall on the day, which protects both sides if the invoice is later queried. Our guide What is the difference between an invoice and a receipt? explains how a delivery receipt, an invoice and a payment receipt fit together.

What is the difference between a receipt format for a store and for a service?

A store receipt lists physical goods, while a service receipt lists tasks or hours. Both need a date, a seller, a total and a payment method.

Receipt typeLine itemsExtra fieldBest for
RetailGoods, qty, unit priceReceipt number, VAT IDSupplies, equipment
RestaurantDishes, drinks, tipGuest count, check numberMeals, client lunches
DeliveryItems ordered vs deliveredSignature, conditionShipped goods
ServiceHours or tasks, rateService date, job referenceContractors, freelancers
E-receiptSame as the paper versionEmail, order IDOnline purchases

The table above shows the formats at a glance. Choose the row that matches the purchase, and keep the extra field, because it is usually the one a reviewer asks for.

Is an itemized receipt enough to claim an expense?

A receipt is enough evidence for most small purchases, but rules differ by country. Treat the following as general information, not advice.

In the United States, the travel, gift and car expense rules say documentary evidence is not required for an expense other than lodging that is less than $75, according to the IRS rules on adequate records. Other business expenses can have different evidence rules, so keep the receipt anyway. It costs nothing, and it settles any later question.

In Germany, a simplified invoice is allowed when the total is 250 euros or less. § 33 UStDV says it must show the supplier's name and address, the issue date, the quantity and type of the goods or services, and the amount with the tax rate in one figure. If the supply is tax-exempt, it must say so. An itemized till receipt that carries those fields can meet that test.

In the United Kingdom, HMRC manual VATREC9020 says that pro-forma or similar invoices are not acceptable evidence for claiming input tax. A plain payment receipt is not a VAT invoice either, so ask for a full VAT invoice when you need to reclaim VAT on a large purchase.

How should you store e-receipts and sample e receipts?

Store an e-receipt as a PDF or a forwarded email in a folder named by month, and rename each file with the date, seller and amount. For example, "2026-10-08_Brightline_44.28.pdf" sorts correctly and can be searched in seconds.

A sample e receipt is the same as a paper one in content. It has the seller, date, items, tax and total, plus an order ID instead of a till number. Treat it as a record, not a convenience. Back it up to a second location, because online stores may delete order history.

Keep the receipts for as long as your tax authority can ask for them. In the United States the default retention period is 3 years. It becomes 6 years if you leave out more than 25% of your gross income, and indefinitely if you file no return or a fraudulent one, according to the IRS record retention guidance.

What mistakes make a receipt useless?

Most useless receipts share the same five defects. Check each one before you file the paper.

  • No itemization. A total with no lines does not show the essential character of the purchase.
  • Faded thermal paper. Photograph or scan it the same day, because thermal print can fade.
  • No business purpose. Write the reason on the receipt or in the record.
  • Mixed items. If personal and business items share one receipt, mark which is which.
  • Missing seller details. A receipt with no name or address is hard to defend.

If you also issue receipts to your own customers, the Invoqk receipt generator produces an itemized receipt with totals and tax from a short description.
