A priced, numbered quote with a deposit and an acceptance line on a desk
Key takeaways
  • A free quote generator should produce a numbered, dated quote with itemized prices, tax, a deposit and an expiry date.
  • A quote is a fixed price for defined work, while an estimate is a best guess that can change, so label the document correctly.
  • Check that any generator exports a clean PDF without a watermark and can carry the quote's line items into an invoice.

A free quote generator turns a job description into a priced, dated and numbered quote that a client can accept in one reply. The best ones also carry the quote forward into an invoice, so you never retype a single line item. This guide shows what a good quote contains, a worked example with real numbers, and how to judge any quotation generator before you trust it with a client.

What is a free quote generator?

A free quote generator is an online tool that builds a quote document from the details you enter, without charging you to create or download it. A quote is a written promise to do specific work at a stated price. A quotation generator is the same tool under a different name.

The word "free" deserves a second look. Some tools let you build the quote for free but add a watermark to the PDF. Others cap you at three quotes a month. Check three things before you start:

  • Does the PDF carry the vendor's logo instead of yours?
  • Is there a monthly limit on documents?
  • Can you export the quote, or is it locked inside the tool?

Invoqk's quote generator builds the document from a plain-English job description, then lets you edit every line before you send it.

Quote or estimate: pick the right document first

A quote is a fixed price for defined work, while an estimate is a best guess that can move. The difference matters because it decides what you can charge later. The quote vs estimate guide goes deeper.

Citizens Advice, the UK consumer charity, defines a quote as "a promise to do work at an agreed price" in its guide to home improvement problems. It defines an estimate as the trader's best guess at the final cost. The same page says a trader with a quote can only charge more if the customer agreed to extra work or the quoted price was an obvious mistake.

DocumentPrice isCan the total rise?Use it when
QuoteFixed for the stated workOnly with the client's agreement to extra workScope is clear and you can price it with confidence
EstimateA best guessYes, within reasonScope depends on what you find once work starts

With an estimate, Citizens Advice says the final price should be "reasonable", and that the figure is something the customer and trader must agree between them (see its advice on disputed bills). If you cannot price the job with confidence, send an estimate. If you send a quote, price the risk into it. A generator cannot make that choice for you, but a good one lets you label the document correctly.

What a quote must contain

A quote that gets accepted answers five questions before the client has to ask them. What exactly will you do, what will it cost, when will it happen, how do they say yes, and until when is the price good? Build the document around those answers.

  1. Your details. Business name, address, email and phone. Add your tax or VAT number if you have one.
  2. Client details. Name, company and address, so the quote can become an invoice without edits.
  3. A quote number and date. For example QUO-2026-0042, issued October 8, 2026.
  4. A validity date. State the exact date the price expires, such as one month from issue.
  5. Itemized scope. Each deliverable on its own line with a quantity, a unit price and a line total.
  6. Tax. Show tax as its own line, or state that the prices exclude it.
  7. Payment terms. The deposit, the due date for the balance and accepted payment methods.
  8. Exclusions and assumptions. What the price does not cover, and what happens if the scope changes.
  9. An acceptance line. A signature and date block, or the words "reply YES to accept".

Skip item 8 and you will eventually do free work. A one-line exclusion such as "Stock photography is not included" is cheaper than an argument.

Quotation generator example: a brand identity quote

The example below is a freelance designer quoting a small bakery in the United States. Every number is invented for illustration, so replace them with your own rates.

Quote QUO-2026-0042 · Issued October 8, 2026 · Valid until November 7, 2026

ItemQtyUnit priceLine total
Brand discovery workshop (2 hours)1$300.00$300.00
Logo design, three concepts and two revision rounds1$1,200.00$1,200.00
Brand guide (colors, fonts, usage rules)1$450.00$450.00
Social media templates6$40.00$240.00
Subtotal$2,190.00
Sales taxNot charged on design services in this example
Total$2,190.00

Payment terms: Half the fee, $1,095.00, is due as a deposit on acceptance. Balance of $1,095.00 due on delivery of final files, net 14.

Not included: Printing, stock photography and trademark searches. Revisions beyond two rounds are billed at $85.00 per hour.

To accept: Reply "Accepted" to this email or sign below.

Notice what this quote does. The deposit is a number, not a percentage the client must calculate. The revision limit is stated up front. The expiry date gives the client a reason to answer this week.

Sales tax varies by US state and by service type. Check your state's rules before you copy the "not charged" line, because some states do tax digital and design services. If you are unsure, contact your state tax agency before you send the quote.

The same quote in the UK, with VAT

A UK quote for the same work adds VAT when the supplier is VAT-registered. The arithmetic changes, and so does the currency.

ItemAmount
Net total£1,750.00
VAT at 20%£350.00
Total including VAT£2,100.00

The standard VAT rate in the UK is 20%, according to the government's guidance on VAT rates. Quote consumers a price including VAT, since they cannot reclaim it. Quote VAT-registered business clients net, with VAT shown separately, because they can reclaim it.

German freelancers follow the same pattern with Umsatzsteuer shown as its own line, plus a Kleinunternehmer note if they use the small-business exemption.

How to judge a quotation generator in five minutes

Run the same test job through any generator and compare. A strong generator passes all of these checks.

  • It numbers quotes for you. Sequential numbers prevent duplicates and make quotes easy to find.
  • It handles tax correctly. You can switch between tax-inclusive and tax-exclusive pricing and set more than one rate.
  • It supports your currency. Dollars, pounds and euros all display with the right symbol and format.
  • It turns the quote into an invoice. One click should copy every line item across.
  • It lets you send it. A PDF download and a built-in email save a step.
  • It keeps your branding. Your logo goes on the document, and the vendor's does not.

Most tools stumble on the fourth item. A quote that cannot carry over into an invoice forces you to retype the job, which is where typos and price disagreements start.

Common mistakes that cost you the job or the money

Most quote problems come from vagueness rather than from price. Fix these before you send.

  • No expiry date. A client can accept a six-month-old price after your costs have risen.
  • A lump sum with no breakdown. Clients cannot compare it with a rival quote, so they ask for a discount.
  • Missing exclusions. The client assumes everything is included.
  • No deposit. You carry all the risk until the final day.
  • A number you cannot defend. Price from your hours and costs, then add a margin for surprises.

Follow up on a quote without nagging

Most quotes that receive no answer have not been rejected; the client has simply forgotten them. Send the quote with a short email that restates the total, the expiry date and the next step. Then follow up once, a few days before the quote expires, with one sentence: "Your quote QUO-2026-0042 is valid until November 7, 2026. Reply if you would like me to hold the date."

Include the quotation number in the subject line of every message, because it allows the client to locate the conversation immediately. If they ask for changes, issue a revised quote with a new suffix, such as QUO-2026-0042-B, and mark the old one as superseded. This procedure prevents anybody from accepting a price that has already been replaced by a newer version.

A quote that expires without any response is not a failure. Close it in your records, note the expiry date, and continue with your next prospective client.

After the client says yes

Acceptance turns the quote into an agreement, so keep the accepted copy. Save the signed PDF or the email that says "Accepted", because it is your evidence if the scope is disputed later.

Then issue the deposit invoice straight away, and reference the quote number on it. When the work is complete, invoice the balance. Matching quote number to invoice number makes your records easy to audit. In the United States, the IRS lists invoices, receipts and similar supporting documents among the records to keep to support your tax return. The quote to invoice guide shows the steps.

UK VAT-registered businesses must keep copies of the sales invoices they issue, and the government's guidance on keeping VAT records sets the period at at least 6 years.

This guide was written by the Invoqk editorial team and checked against the sources linked above on October 8, 2026. It is general information, not legal or tax advice.

Frequently asked questions

Is there a truly free quote generator with no watermark?

Yes, some tools let you create and download quotes without a watermark, but many add the vendor's logo or limit you to a few documents a month. Test by building one quote and opening the PDF before you share it with a client.

What is the difference between a quote and a quotation?

There is no difference. "Quotation" is the longer, more formal word and "quote" is the everyday one. Both mean a written offer to do defined work at a stated price, and both are used interchangeably in the United States, the UK and Europe.

Is a quote legally binding?

A quote can bind you once the client accepts it, because it is an offer at a fixed price. Citizens Advice says a trader who gave a quote can normally not charge more unless the customer agrees to extra work. Rules vary by country, so confirm the position locally.

How long should a quote be valid?

Most quotes stay valid for a couple of weeks to a month. Choose a shorter period when material prices fluctuate quickly or when your schedule becomes crowded. Always write the exact expiry date on the quote so nobody has to count days.

Can I turn a quote into an invoice?

Yes, and you should. Copy the accepted line items into an invoice and reference the quote number. A generator that converts the quote automatically avoids retyping errors and keeps both documents consistent.
