Key takeaways
  • A handyman invoice lists each task, the hours or price per task, materials on separate lines, a total and the payment terms.
  • In California, an unlicensed handyman may take a job only if the whole contract is under $1,000 for labor and materials, needs no permit and uses no hired workers.
  • For 2026, log mileage at 72.5 cents before July 1 and 76 cents after, and expect a Form 1099-NEC from business customers paying $2,000 or more.

A handyman invoice is a one-page bill that lists each small task, the hours, the materials and the total. A handyman invoice template is the blank version of that page. The handyman invoice template below is free to copy, and the sample shows a $627.35 job. It also covers a rule many handymen miss: in California, a single contract above $1,000 can require a contractor license.

Stacked bar chart of a $627.35 handyman invoice against the $1,000 California minor work limit: labor $350.00, materials $217.35, minimum charge $60.00, leaving $372.65

What should a handyman invoice include?

A handyman invoice should include your name and contact details, the customer and job address, itemized tasks, materials, a total and the payment terms. A handyman bill template is simpler than a contractor invoice, but each line still has to be clear. Customers pay faster when they can match every charge to a task.

Include these fields on every handyman invoice:

  1. Business or personal name, phone and email. Add a license number only if you hold one.
  2. Customer name and the address where you worked. The two can differ for landlords and property managers.
  3. Invoice number and date. Number them in sequence.
  4. A list of tasks. Write one line per task, such as "Repaired gate latch" or "Patched drywall in hallway".
  5. Hours and hourly rate, or a price per task. Use the same method across the whole invoice.
  6. Materials, listed separately. Show the cost, and any markup, on its own line.
  7. A minimum charge or trip fee, if you have one.
  8. The total, payment terms and accepted payment methods.

The post called Contractor invoice template: what to include, with examples covers the fields common to all trades, and the contractor invoice template page offers a ready layout. This guide adds what handymen need on small jobs.

Save the file as a PDF before you send it. A PDF cannot be edited by accident, and it opens on every phone. Handyman invoice forms in Word or Excel work the same way, as long as the totals are checked by hand.

Worked example: a $627.35 handyman invoice

This handyman invoice sample totals $627.35 for five hours of labor, $189.00 of materials and a $60.00 minimum charge. The rates are illustrative. Use your own rate and local costs.

LineDetailAmount
Labor5 hours at $70 (gate latch, drywall patch, faucet cartridge, door hardware)$350.00
Materials at costDrywall patch kit and paint $64.00, faucet cartridge $38.00, door hardware $87.00$189.00
Materials markup15 percent of $189.00$28.35
Minimum chargeCovers the first visit and travel$60.00
TotalDue upon receipt$627.35

The invoice is dated October 14, 2026. Receipts for the materials stay on file, and copies go to the customer on request. A markup of 15 percent is a pricing choice, not a standard, and the markup calculator shows what it does to your margin. Some handymen bill materials at cost and charge more for labor.

State the warranty in one line. "Workmanship guaranteed for 30 days" prevents a vague argument later. The post What goes on an auto repair invoice? A free template shows how another trade handles parts, labor and warranty lines.

Is there a dollar limit on handyman work in California?

In California, an unlicensed handyman may take a job only if the whole contract price is under $1,000 for labor, materials and everything else. This minor work exemption is a narrow rule with two conditions. The California Contractors State License Board (CSLB) raised the minor work exemption from $500 to $1,000 starting January 1, 2025, under Assembly Bill 2622, according to the CSLB bulletin on the minor work increase.

Two conditions apply, and either one removes the exemption:

  • The work cannot require a permit of any kind. A job that needs a building permit requires a license, even below $1,000.
  • The unlicensed person cannot employ anyone. Hiring even one helper requires a license.

The CSLB bulletin adds an advertising rule. Unlicensed individuals can advertise for work up to $1,000 if the advertisement says they are not licensed. The exemption does not apply to anyone who advertises as licensed or qualified to act as a contractor.

The chart above puts the sample invoice against the limit. The $627.35 job leaves $372.65 of room. A fourth task that costs $450 would bring the contract to $1,077.35, which is over the cap.

The statute also blocks job splitting. California Business and Professions Code section 7048 sets the $1,000 limit, and it does not cover work that is part of a larger operation. Dividing a bigger project into several small contracts to stay under the cap is not allowed.

This is a rule about one state. Other states set their own limits, license types and permit rules. Check your state contractor board before you quote a job, and read the rule that applies to your trade.

How should a handyman price the invoice?

Handymen usually price by the hour with a minimum charge, by the task, or by the day. Each method puts the risk in a different place. Choose one and write it on your quote.

MethodHow it appears on the invoiceBest for
Hourly with minimumHours × rate, with a minimum visit chargeMixed lists of small repairs
Per taskOne price per task, such as $85 to hang a doorRepeat jobs with known time
Day rateOne price for a full day on sitePunch lists at rentals or move-outs

A minimum charge is a flat fee for a short visit, and it protects those visits. A 30-minute fix that needs 45 minutes of driving loses money without one. Put the minimum on the quote, and repeat it on the invoice.

Cost-plus pricing on materials is normal, and the hourly rate to invoice calculator helps set the labor rate. Keep the receipts. A customer who questions a $38 part should see a $38 receipt next to a $43.70 line with a 15 percent markup. The post titled Estimate maker: how to write a job estimate clients accept shows how to set expectations before the work starts.

Which 2026 tax rules affect handyman invoices?

Three 2026 rules matter: the mileage rate, the Form 1099-NEC threshold and the Form 1099-K threshold. Each changes what paperwork you get or send. None changes whether your income is taxable.

Mileage. The IRS business rate is 76 cents per mile for July 1 through December 31, 2026, and 72.5 cents for January through June. The IRS announcement of the 2026 business mileage rate gives the original figure, and the mid-year change came through Announcement 2026-11. Keep a mileage log, because drives between jobs are deductible.

Form 1099-NEC. A business customer, such as a landlord who files taxes on rental property, must report payments of $2,000 or more to you for tax years beginning after 2025. The IRS Instructions for Forms 1099-MISC and 1099-NEC state the new amount. Before 2026, the amount was $600.

Form 1099-K. Card and payment-app processors report payments only above $20,000 and 200 transactions, according to IRS Fact Sheet 2025-08, issued October 23, 2025. A missing form does not cancel the income. Record every payment, whether or not you get a form.

Should a handyman invoice charge sales tax?

It depends on the state and on what you sold. Some states tax materials, some tax certain repair services and some tax neither. The sales tax calculator handles the arithmetic once you know the rate. The invoice should show the tax as its own line, so the rate is clear.

Ask your state revenue department two questions. Do I charge sales tax on the parts I supply? Do I charge it on labor for repairs? The answers decide whether the line appears at all.

If you buy materials for a job, keep the receipts. They support both your invoice and your own tax deduction. Invoqk can turn your notes from the job into an itemized invoice with the labor, materials and total, ready to send as a PDF. Try the invoice generator.

What mistakes make a handyman invoice get questioned?

The most common mistakes are vague task lines, bundled materials and a missing date. Each one gives the customer a reason to delay payment. All three take seconds to fix before you send the invoice.

  • Vague lines. "Misc repairs, $400" invites a call. "Replaced kitchen faucet cartridge, 1 hour" does not.
  • Bundled materials. One lump sum for parts hides the cost. List each item or group small items under one clear line.
  • Missing dates. Put the work date and the invoice date on the page. Both matter if there is a warranty claim.
  • No photos or notes. A short note, such as "Customer approved extra outlet cover by text", records changes that came up on site.

Keep a copy of every invoice for at least as long as your tax records require. A simple folder sorted by month is enough.

Key points to remember

A handyman invoice needs clear task lines, separate materials and a visible total. Add a minimum charge for short visits. Write the warranty and payment terms on the page.

In California, keep each contract under $1,000, and check permits and helpers before you quote. Log mileage at 72.5 cents before July 1 and 76 cents after. Expect a 1099-NEC from business customers who pay you $2,000 or more. Corrections are welcome on the contact page, and the about page explains who writes these guides.

Frequently asked questions

What goes on a handyman invoice?

A handyman invoice should include your name and contact details, the customer and job address, an invoice number and date, one line per task, hours and rate or a price per task, materials listed separately, any minimum charge, the total and the payment terms.

Where can I get a free handyman invoice template?

Copy the plain-text template in this guide into any document or spreadsheet and fill in the brackets. It works as a free handyman invoice template for one-visit jobs. Save the finished invoice as a PDF so the totals cannot be changed by accident.

What is the handyman license limit in California?

California allows unlicensed work only when the whole contract price for labor, materials and all other items is under $1,000. The CSLB says the limit rose from $500 on January 1, 2025. The job cannot need a permit, and the handyman cannot employ anyone.

Should a handyman add a markup to materials?

Many handymen add a markup, such as 15%, to cover shopping time and risk. Others bill materials at cost and charge more for labor. Either is acceptable if it is clear. Show the cost and the markup on separate lines and keep the receipts.
