An auto repair invoice template with parts, labor and totals
Key takeaways
  • An auto repair invoice lists labor, parts and tax separately and ties back to the estimate the customer approved.
  • California requires a written estimate and the customer's authorization before work, plus an invoice that states used or rebuilt parts.
  • Keep every invoice as a tax record: IRS Publication 583 gives a general 3 years, and GOV.UK says 5 years after the 31 January deadline.

An auto repair invoice is a bill that a shop gives a customer after a repair, listing the labor, the parts and the total owed. Good auto repair invoice forms also tie back to the estimate the customer approved, and that link is what protects the shop in a dispute.

This guide gives you a free template: the fields, a filled-in example with real numbers and the rules in California, the UK and Germany. So what goes on the invoice? Copy the structure below, adapt the figures to your own shop and send it today.

What an auto repair invoice must show

An estimate is the written price a shop quotes for a job before it starts work. An authorization is the customer's approval of that price. The invoice should reference both. For the fields every invoice needs, see what to put on an invoice, and for sending it, the invoice email template.

Every auto repair invoice needs the same core items, and you should add whatever extras your jurisdiction requires.

  1. Shop name, address and phone number.
  2. Customer name and contact details.
  3. Vehicle year, make, model and VIN.
  4. Odometer reading at drop-off.
  5. Invoice number and invoice date.
  6. Date the work was done.
  7. Parts, each on its own line with quantity, unit price and condition.
  8. Labor, shown as hours times the hourly rate or as a flat job price.
  9. Subtotals for parts and for labor.
  10. Sales tax or VAT, stated separately.
  11. Total due, amount paid and balance.
  12. Payment terms and accepted payment methods.

The VIN and odometer reading are not required by every statute, but they settle most disputes about which car came in and on which visit, so add them.

Auto repair invoice template with a worked example

This example is a brake job in the US, and the customer approved a written estimate of $560.00 before work began. The shop charges $140.00 per labor hour. For example, the tax line applies a rate of 8.25 percent to parts only, but state rules differ on whether labor is taxable, so check your state tax agency.

LineDescriptionQtyUnit priceAmount
LaborReplace front brake pads and rotors2.5 h$140.00$350.00
PartFront brake pads, new, ceramic, 1 set1$62.00$62.00
PartFront brake rotors, new2$58.00$116.00
PartBrake fluid, new1$14.50$14.50
SummaryAmount
Labor subtotal$350.00
Parts subtotal$192.50
Sales tax, 8.25 percent on parts$15.88
Total due$558.38
Approved estimate$560.00

Header block for the same invoice:

  • Invoice number: INV-2026-0417
  • Invoice date: October 2, 2026
  • Vehicle: 2019 Honda Civic, VIN on file, odometer 61,240 miles
  • Estimate approved by the customer on September 30, 2026 at 9:15 a.m.
  • Payment terms: due on pickup

The total of $558.38 sits under the approved $560.00, so no extra authorization was needed. If the final price had risen above the estimate, the shop would have had to ask the customer first.

Auto repair invoice rules in California

California regulates repair shops closely, which makes it a useful benchmark for any shop in the US. The California Business and Professions Code section 9884.9 requires a written estimated price for labor and parts for a specific job. It also says no work shall be done and no charges shall accrue before the customer authorizes the work, which is why the estimate comes first.

If the job needs more money, the shop must get the customer's consent after it learns the estimate is too low. Consent can be oral or written. For oral consent, the shop must record the date, time, name and phone number of the person who approved. It must also record the added parts and labor cost.

The invoice itself is covered by section 9884.8. It requires these items:

  • All service work done and parts supplied.
  • Service work and parts listed separately, with a subtotal for each.
  • Sales tax stated separately.
  • A clear statement when parts are used, rebuilt or reconditioned.
  • A copy for the customer and a copy kept by the shop.

For body and collision work, the statutes also ask for the new, used or rebuilt condition of each part. They ask whether crash parts are original equipment or aftermarket. This guide covers California as an example. Other states have their own rules, so check your state's consumer or auto repair agency.

Auto repair invoice rules in the UK and Germany

The UK has no repair-specific invoice statute in this guide's sources. The GOV.UK invoice guidance lists what every business invoice must include. That list covers a unique invoice number and your name, address and contact details. It also covers the customer's name and address, a clear description, the supply date, the invoice date, the amounts, VAT if it applies, and the total owed. A UK garage that is VAT registered and serves VAT registered customers must issue a VAT invoice with more detail.

In Germany, a repair shop works under contract law. Section 649 of the BGB covers the Kostenanschlag, the cost estimate. It applies when the contractor did not guarantee the estimate. It requires the contractor to notify the customer without delay once an overrun of the estimate is expected. Build that step into your workflow by calling the customer, logging the call and noting the new figure on the invoice.

How to fill in an auto repair invoice step by step

  1. Copy the estimate onto the invoice header. Match its number and date.
  2. List every part on its own line. Write new, used or rebuilt next to each.
  3. Write labor as hours times rate, or as a flat job price if that is what the customer approved.
  4. Add shop supplies or disposal fees, such as tire or oil disposal, only if the estimate listed them.
  5. Compare the total to the approved estimate. Consider a job where the shop finds a worn belt during the brake work, for instance. Note any approved change with the date, time and name.
  6. Keep one copy for the customer and one for your records.

How long to keep auto repair invoices

Treat every invoice as a tax record as well as a customer document, and file it where you can find it. IRS Publication 583 says supporting documents include sales slips, paid bills, invoices and receipts. It also gives the period of limitations, which is generally 3 years and extends to 6 years when unreported income exceeds 25 percent of the gross income shown on a return.

In the UK, the GOV.UK record-keeping rule says self-employed people must keep records for at least 5 years after the 31 January submission deadline of the relevant tax year.

Frequently asked questions

What is the difference between an auto repair estimate and an invoice?

An estimate is the price the shop quotes before work starts. An invoice is the bill after the work is done. In California, the shop needs the customer's written estimate and authorization first. The invoice then lists the parts and labor actually used.

Can a mechanic charge more than the estimate?

In California, only with the customer's consent after the shop finds the estimate is too low. Consent can be oral or written. For oral consent, the shop must record the date, time, name and phone number. Other states and countries set their own rules.

Do auto repair invoices need to list parts separately from labor?

In California, yes. The law requires service work and parts to be listed separately, with a subtotal for each. Even where no rule forces it, a split invoice is easier for customers to check and easier to defend in a dispute.

What should I include on a mechanic invoice template?

Include the shop details, customer details, vehicle year, make, model and VIN, odometer reading, invoice number and date, itemized parts and labor, tax, total, and payment terms. Add the estimate number it relates to.

How long should a repair shop keep invoices?

In the US, IRS Publication 583 sets a general limit of 3 years for most returns, and 6 years in some cases. In the UK, GOV.UK says to keep records for at least 5 years after the 31 January submission deadline.
