What this template includes
- Labor lines with hours and rate
- Material lines with quantity and price
- An estimate number and a valid-until date
- A note that the final cost may differ
- Your details and the client's
Sample names and amounts are placeholders. Change everything in the editor.
When to give an estimate
Give an estimate when the exact cost is not known yet: repairs, renovations, custom work. It sets expectations without locking you into a price you cannot yet know.
Keep it honest
List labor and materials separately and say what could change the price. Clients accept a range far more easily when they can see what drives it.
Estimate versus quote
An estimate is a good-faith approximation. A quote is a fixed offer. If the client wants a guaranteed price, send a quote instead.
How to use this template
1. Open the template
Click the button above. The editor opens with the lines, notes and payment terms already filled in, so you start from a working invoice instead of a blank page.
2. Replace the sample data
Swap in your own business details, your client, the real quantities and prices. Tax and totals recalculate as you type, so there is no manual arithmetic to get wrong.
3. Download or send it
Export a PDF, or create an e-invoice (XRechnung or ZUGFeRD) when your client needs one. Save the invoice to your account to track it until it is paid.
Questions about this template
What is the difference between an estimate and a quote?
An estimate is an approximate price that can change. A quote is a fixed price offer the client can accept.
What should an estimate include?
Your details, the client, an estimate number and date, labor and materials, the estimated total, how long it is valid and what could change the price.
Can the final bill be higher than the estimate?
It can, if the scope changes. Many places limit how far the final bill may exceed an estimate, so tell the client before extra work.
Can I turn the estimate into an invoice?
Yes. Convert it in the editor and update the lines to the real hours and costs.
