When to issue a receipt

Issue a receipt whenever you take a payment, in cash, by card or by transfer. The customer needs it for returns, expenses and their own records, and you need a copy for your books.

Receipt or invoice

An invoice asks for money. A receipt confirms it arrived. If you already sent an invoice, the receipt closes it out and should quote the same number.

Only for real payments

Use receipts only for payments that actually happened. The template is for your own records, not for documenting payments that did not take place.

How to use this template

  1. 1. Open the template

Click the button above. The editor opens with the lines, notes and payment terms already filled in, so you start from a working invoice instead of a blank page.

  2. 2. Replace the sample data

Swap in your own business details, your client, the real quantities and prices. Tax and totals recalculate as you type, so there is no manual arithmetic to get wrong.

  3. 3. Download or send it

Export a PDF, or create an e-invoice (XRechnung or ZUGFeRD) when your client needs one. Save the invoice to your account to track it until it is paid.
