How to use this template

  1. 1. Open the template

Click the button above. The editor opens with the lines, notes and payment terms already filled in, so you start from a working invoice instead of a blank page.

  2. 2. Replace the sample data

Swap in your own business details, your client, the real quantities and prices. Tax and totals recalculate as you type, so there is no manual arithmetic to get wrong.

  3. 3. Download or send it

Export a PDF, or create an e-invoice (XRechnung or ZUGFeRD) when your client needs one. Save the invoice to your account to track it until it is paid.

Questions about this template

What must a UK VAT invoice include?

A unique sequential number, the time of supply and issue date, your name, address and VAT number, the customer's name and address, a description of the goods or services, and per line the rate and amount before VAT, plus the VAT total in sterling.

Which VAT rate should I use?

The sample uses the 20% standard rate. Reduced and zero rates apply to some goods and services, so set the rate per line.

What is the time of supply?

The date used to decide which VAT period a sale belongs to. It is often the delivery or completion date. If it differs from the invoice date, show both.

Do I need a VAT invoice for every sale?

You must give a VAT invoice to VAT-registered customers on request. Retail sales have simpler options. Check HMRC guidance for your case.
